About this file
This is a Coordination and Meetings section specification document from the Borough of Doylestown for Contract 2400754 – Fanny Chapman Memorial Pool Main Pool Repairs. The document establishes the framework for project coordination and communication between the Owner (Borough), Engineer, Contractor, and Subcontractors throughout the construction phase. The specification requires the Contractor to provide comprehensive coordination of scheduling, submittals, and work sequencing to ensure efficient installation of interdependent construction elements, as well as field engineering services including stakeout verification, elevation establishment, and confirmation of drawing dimensions. A mandatory preconstruction meeting must be held after the Effective Date of the Agreement and prior to commencement of work, with required attendance from the Owner, Engineer, Resident Project Representative, Contractor, Contractor's Superintendent, and major Subcontractors. The preconstruction meeting agenda shall address personnel designation, contract document distribution, scheduling, subcontractor and product lists, and procedures for processing field decisions, submittals, change orders, and contract closeout. Additionally, progress meetings shall be scheduled on an as-needed basis throughout the work period, with the Resident Project Representative responsible for arranging meetings, preparing agendas, and recording minutes for distribution to all participants within five working days.
The specification does not establish pricing terms, set-asides, or funding requirements, as these are administrative and financial provisions addressed in other contract documents. The coordination and meetings requirements are applicable to all contractors and subcontractors engaged on the project regardless of contract amount or award basis. The document emphasizes maintenance of quality standards, schedule adherence, and effective communication channels between all parties to ensure orderly project execution and timely completion of the pool repair work scheduled for completion by April 1, 2026.
