About this file
This is a specification document for Section 01 31 00 - Coordination and Meetings, establishing the administrative and procedural framework for the 2026 Bristol Borough CDBG Curb Ramp Program in Pennsylvania. The document outlines the contractor's responsibilities for coordinating scheduling, submittals, and work sequencing to ensure efficient and orderly installation of project elements, including field engineering services, stakeout activities, and verification of setbacks and easements. A mandatory preconstruction meeting must be held at the project site after the effective date of the agreement and before work commences, with required attendance from the owner, owner's engineer, owner's resident project representative, contractor, contractor's superintendent, major subcontractors, contractor's design engineer, and third-party inspection representatives. The preconstruction meeting agenda includes distribution of contract documents, submission of subcontractor lists and schedules, designation of contract personnel, procedures for field decisions and change orders, scheduling discussions, and premises usage guidelines, with meeting minutes to be distributed within seven working days.
Progress meetings shall be scheduled throughout the construction period on an as-needed basis, presided over by the owner's resident project representative, with required attendance from the contractor's superintendent, major subcontractors and suppliers, owner, and owner's engineer. Progress meeting agendas shall address work progress reviews, field observations and problems, submittal status, off-site fabrication and delivery schedules, schedule maintenance, quality standards, and the effects of proposed changes on project coordination and timelines. The contractor bears responsibility for locating and protecting survey control points, establishing field engineering controls based on the design engineer's established datum, and constructing work according to verified elevations, lines, and locations utilizing recognized survey control practices. Meeting minutes from progress meetings must be distributed within five working days to all participants, ensuring comprehensive documentation and communication throughout the project lifecycle.
