About this opportunity
Franklin County Board of Commissioners is soliciting proposals for an audio-visual system for a conference room under RFP 2026-10-09, with proposals due July 8, 2026.
The scope requires a QSC Q-SYS Core 110f-based integrated audio-visual and conferencing system for a divisible three-room space (Rooms A, B, C) supporting Microsoft Teams Rooms technology, PTZ cameras, ceiling microphones, wireless microphone systems, projection systems, and networked control infrastructure. All systems must provide seamless automation, video conferencing, audio control, and presentation capabilities with minimal user intervention. Only Q-SYS-based designs will be accepted; equivalent control systems such as Extron-based solutions will not be considered. Remote monitoring and network-based management capability for diagnostics and device status monitoring is required, though remote access will be restricted to County IT support staff. Installation must occur Monday through Friday, 8:00 a.m. to 5:00 p.m., with one-year on-site service and warranty agreement at maximum 2–3 business day response time.
A pre-proposal meeting is scheduled for June 12, 2026, at 1:00 p.m. EST in-person (rescheduled via Amendment 1 from June 9); attendance requires RSVP. Written questions are due June 17, 2026, at 5:00 p.m. EST, with answers posted June 24, 2026, at 5:00 p.m. EST. The estimated service start date is August 2026 with a project completion deadline of October 1, 2026. The County intends to award one contract but reserves the right to award multiple contracts. Five bidders responded: iVideo Technologies LLC, BIS Digital Inc., INA LED US Inc., Eko Solutions, and Radiant Technology Group Inc.
Vendors must maintain comprehensive insurance including $1,000,000 general liability, $1,000,000 automobile liability, $5,000,000 cyber insurance, $1,000,000 professional liability, and $2,000,000 umbrella/excess coverage.
