About this opportunity

The County of San Mateo is soliciting quotations for ServiceNow maintenance services supporting the San Mateo County Sheriff's Office's custom-built ServiceNow portal, with quotations due November 19, 2026. Preferred qualifications call for at least two years of ongoing ServiceNow maintenance for a customized platform at a local government entity, preferably a law enforcement agency.

Scope covers upkeep, maintenance, and enhancements to the portal, which handles Fiscal, Training, and Technical Services Unit requests. Enhancements include Docusign electronic signature integration, adjustments to existing approval workflows, PDF document generation, and email notifications, plus creation of additional dashboards and reports. Administrative tasks include user roles and permissions, group management, changes to assignment and routing, and manual case data updates as required. The contractor must adhere to the County Technology Services Department change request schedule and process.

Pricing is a flat hourly rate, with total hours shared among the Fiscal, Technical Services, and Training units. Vendors must complete the Pricing Bid Table in section 3 and upload a competitive quotation. Evaluation considers cost and conformity to specifications, and the County expects to award to the lowest responsive bid from a qualified, responsible vendor. The attached standard contract template for agreements under $200,000 requires workers' compensation insurance and $1,000,000 minimums for bodily injury and property damage, motor vehicle, and professional liability coverage, and requires compliance with county living wage and jury service ordinances.
