About this file
This document is a technical specification for drawing deliverables required from architectural and engineering (A&E) firms and subcontractors providing facilities design documentation to SLAC National Accelerator Laboratory in Menlo Park, California. The specification establishes mandatory standards that must be met prior to preliminary review and final submittal of drawings to SLAC.
The document defines requirements across multiple deliverable formats including AutoCAD (.dwg) files, Revit (.rvt) files, PDFs, Excel spreadsheets, and image files. Drawing title blocks must consist of four lines with 32-character limits each: project location/building number, project name, discipline, and drawing content, with no ampersand characters permitted. The drawing numbering system comprises five fields: a five-digit facility code prefix (assigned by SLAC), two-digit discipline code, one-digit subcategory code, four-digit suffix (0000-9999, assigned by SLAC), and two-digit revision number. Revision numbering should reflect design phases (A0 conceptual, A1-A3 for 30-90% submittals) with final as-builts returning to revision 00. All drawings must use SLAC-provided templates and include the Project ID#, with Arial font required at industry-standard scales (1/8 inch for notes, 1/4 inch for labels). AutoCAD files must follow relative path linking for external references, with no nested references permitted, and all broken or unused references removed. Revit files must be saved in Release 17 or below, contain all views in a single file, include only as-built views in the project browser for record files, and reference true coordinates with proper workset management. GIS drawings at 100% as-built completion must be flat files using only designated GIS layers with all blocks exploded. Initial inspection occurs three weeks after drawing commencement to verify file structure, naming conventions, and standard compliance, while final inspection prior to completion requires all drawings in SLAC-designated numbers, digital submission of AutoCAD and PDF files, and a spreadsheet documenting all external references and dependencies.

Linking (external references) Requirements
REMOVE from drawing files all broken or unused reference files, layers, blocks, image files, font files, and pdf files.
Use Relative Path for all linked documents.
All external files should be accompanied by an excel spreadsheet that contains the locations and drawing dependencies of the external file.
All external files shall start with an X designator, for example X_imagename.jpg.
Note: Nested external references SHALL NOT be used on AutoCAD drawings submitted to SLAC.
Revit File Requirements Revit files (.rvt) shall contain all views (model based and sheet based) in the same file. Using agreed upon conventions, make it easy to identify the following:
Discipline Project Number Project Zone (where applicable) Model Description Revit Version
These guidelines focus primarily on adaptation of standards for practical and efficient application of BIM, particularly at the handover (Record – As built) stage of the project.
Listed below are requirements for Revit files prior to being accepted by SLAC:
Digital Revit files to be structured correctly to enable efficient data sharing within SLAC.
All views that are created for sheet views shall be named in accordance with SLAC naming convention (see Figure 6A and 6B below).
For record files, only As-built views shall be available within the project browser. All other views should be considered as working views and must be filtered out of the project browser.
Sheet views (discipline sets) in the Revit project browser dictates the final product delivered by the consultant and shall have all appropriate views filtering applied in the model to represent this state.
Record model quality control procedures must be performed prior to delivering to SLAC.
The main central files from each discipline shall be supplied to SLAC as the final record model.
All essential linked models including Revit files, CAD files, and Point Clouds must be provided as their own separate central files.
All Revit models supplied shall reference true coordinates and use Revit shared coordinates functionality for all linked files that require coordinates with the final record files.
All issues in coordination review within Revit shall be resolved.
All Revit files associated to project shall be provided to SLAC.
Revit files to be saved in Release 17 or below when delivered to SLAC.
Revit files to be saved in the following format:
NO .png external reference files.

To achieve technical excellence and a successful outcome to a project, it is essential that explicit attention is given to the management, display, and quality of the record (as-built) data.
Listed below are best practices to follow that facilitate efficient, high quality deliverables:
Manage the model o No overlapping of design elements, especially wall and room boundaries.
o All rooms must be subdivided by space/room.
o Ensure all discipline systems are defined; every element belongs to a system.
o All un-hosted / orphan families resulting from “copy/paste” shall be reconciled into the appropriate host.
o All notation, dimensioning, and lettering on drawings shall be at the industry accepted scale; 1/8” for notes and 1/4” for all major labels. Do not use lower case lettering. All drawings shall have the standard SLAC graphic scale and title block “SLAC-44x34-TTLB.rfa’.
o All Revit families must follow a logical naming convention; this is true for all system, component and in-place families.
o All families must be categorized in a correct Revit category. No families shall be referenced as “Generic model” only.
o PURGE unnecessary families, raster images, CAD links, CAD imports, unused sheets, and all other unreferenced data.
o Reduce the number of warnings. Revit will calculate each open item each time, causing it to regenerate slower.
Use Worksets efficiently o Always model in the correct Workset.
o Each discipline in a Revit model shall be in its unique Workset.
o Don’t unload links. Manage the visibility of your Revit links through the Worksets dialog box through your view templates.
Manage links o Ensure all .rvt, .dwg, and all required files are linked and imported into the Revit file.
o Remove all links that are not required as record file deliverables.
Avoid hiding elements o Use model categories, filters, and view templates to control your view. A change in the view template will apply to views referencing the same view template, saving time.
Sheet / Views extraction o Create export to CAD views within project browser with the appropriate view settings to extract 2D CAD drawings.
o Plan views shall be setup for CAD background purposes with appropriate screen color settings.
o All sheet / views (.dwg) extractions shall be at minimum, R13.

Initial inspection for the CAD Documentation Package
Three weeks after the drawings commence, a drawing package will be submitted for inspection of file structure and drawing accuracy, completed by an AutoCAD SME to ensure the standards set forth in this document are being followed.
NOTE: Only a portion of drawings are needed, submit AutoCAD files.
The drawing package inspection includes:
The excel spreadsheet as outlined in this specification
Title block, provided by SLAC, is being used
DWG file naming conventions as outlined in this procedural guide
Drawing numbers correctly named (see Figure 5) and saved as separate drawings (no multiple tabs)
Embedded images
External references (Xref) guidelines are being followed
Fonts are being used correctly
Final inspection of A&E and Subcontractors Deliverables to SLAC
Prior to final completion of drawing package the following items must be included for submission to SLAC National Accelerator Laboratory:
Submit all drawings digitally, including AutoCAD files, 3D Models, and PDF files.
All drawings to be saved as SLAC designated drawing numbers (see Figure 5).
Provide an excel spreadsheet that contains all drawings and Xref’s including file locations and drawing dependencies of the Xref's.
Additional deliverables as outlined in the work contract signed at the beginning of the project.
NOTE: All final 100% As-Built drawings shall incorporate all RFI changes, all approved submittals, all approved shop drawings, red lines, and all Addendums. The set of As-Builts will be labeled as a final revision as-built and shall be Revision 00 with all previous revision information removed from drawing.
