About this opportunity
Collier County's Fleet Management Division is seeking qualified vendors to provide Original Equipment Manufacturer (OEM) Ford and Motorcraft Parts, Fluids, and Supplies through Invitation to Bid (ITB) No. 25-8399. The procurement is divided into three primary categories: Ford and Motorcraft OEM Parts, Fluids, and Supplies; Ford and Rotunda OEM Service and Diagnostic Tools; and Ford and Motorcraft Accessories. Vendors must provide percentage discounts on current published price lists, with all parts expected to have a minimum twelve-month or 12,000-mile warranty. Delivery requirements are stringent, mandating stock orders be delivered within 48 hours, emergency parts within 24 hours, and back orders filled within five business days. The bid will be evaluated based on the lowest total bid, with the county intending to award multiple vendors (primary and secondary) based on their ability to meet comprehensive requirements. The bid is due on October 15, 2025, at 3:00 PM, with the contract initially set for three years and options to renew for two additional one-year periods.
The procurement does not appear to have specific set-aside designations for disadvantaged enterprises, though vendors must meet several compliance requirements, including E-Verify enrollment and immigration law compliance. Vendors must submit multiple forms, including an Immigration Certification, Conflict of Interest Certification, and Local Vendor Preference Certification. Insurance requirements are comprehensive, including Worker's Compensation, Commercial General Liability, and Automobile Liability, with Performance and Payment Bonds required for projects exceeding $200,000. Historically, Collier County departments have spent approximately $1.6 million annually on parts, with the Fleet Management department specifically spending around $632,000 annually on Ford and Motorcraft OEM parts, fluids, and supplies. The county reserves the right to purchase from secondary vendors if primary vendors cannot meet delivery times or if quality and warranty considerations outweigh the need for the lowest cost. Successful vendors will be expected to maintain strict compliance with county procurement policies, provide comprehensive documentation, and meet rigorous performance standards.
