About this file

This is a Vendor Declaration Statement form issued by the Collier County Board of County Commissioners in Florida for use in responding to the Invitation to Bid (ITB) No. 25-8399 for Original Equipment Manufacturer (OEM) Ford and Motorcraft Parts, Fluids, and Supplies. The procurement seeks qualified vendors to supply Ford and Motorcraft OEM parts, fluids, supplies, service and diagnostic tools, and accessories to support the County's Fleet Management Division. The bid is due October 15, 2025, at 3:00 PM. The contract will be awarded to multiple vendors (primary and secondary) based on their ability to meet delivery requirements: stock orders within 48 hours, emergency parts within 24 hours, and back orders within five business days. All parts must carry a minimum twelve-month or 12,000-mile warranty. The initial contract term is three years with options to renew for two additional one-year periods.

Vendors must submit bids based on percentage discounts applied to current published Ford and Motorcraft price lists, with evaluation based on the lowest total bid. Collier County historically spends approximately $1.6 million annually on parts across all departments, with the Fleet Management Division specifically spending approximately $632,000 annually on Ford and Motorcraft OEM parts, fluids, and supplies. Vendors must comply with comprehensive requirements including E-Verify enrollment, immigration law compliance, insurance coverage (Worker's Compensation, Commercial General Liability, and Automobile Liability), and submission of required certifications. Performance and Payment Bonds are required for projects exceeding $200,000. The County reserves the right to purchase from secondary vendors if primary vendors cannot meet delivery times or if quality and warranty considerations outweigh lowest-cost procurement.
