About this opportunity

Mt. San Antonio College, located in Los Angeles County, California, is issuing a Request for Proposal (RFP) to procure a comprehensive Live Event Ticketing Software Platform to manage ticket sales, distribution, and operations for on-campus and off-campus events. The platform must support multiple sales channels including web-based, mobile, and in-person point-of-sale transactions; accommodate various ticket types and pricing structures; provide real-time seat selection and inventory management; and integrate digital wallet functionality with multiple payment methods. The College currently sells approximately 50,000 paid tickets annually valued at $475,000 and issues an additional 11,000 free tickets for commencement ceremonies, with signature high-volume events including the Mt. SAC Cross Country Invitational and Mt. SAC Relays requiring fast and efficient single-ticket sales. Required qualifications include three references for similar projects, demonstrated financial solvency and operational stability, compliance with WCAG 2.1 Level AA accessibility standards and Section 508 of the Rehabilitation Act, and PCI DSS Level 1 compliance for payment processing. Evaluation criteria consist of vendor experience (15%), scope of work evidence (25%), methodology and approach (20%), timeline and duration (10%), total cost of ownership (20%), and understanding of Mt. SAC campus needs (10%). The mandatory pre-proposal meeting is scheduled for February 12, 2026, at 1:00 PM via Zoom, the Request for Information cutoff is February 26, 2026, at 2:00 PM, and proposals are due March 3, 2026, at 2:00 PM via Mt. SAC's eProcurement Portal, with optional demonstrations and interviews on March 25, 2026, award recommendation on March 27, 2026, and contract start date of May 14, 2026.

The RFP does not identify specific set-aside designations or restrictions limiting eligible respondents, though the vendor packet references minority and disadvantaged business certifications, suggesting vendors may voluntarily disclose such certifications. No incumbent vendors or current contractors are identified in the procurement documents. The contract term is three years with the ability to renew for two consecutive one-year terms, with pricing proposals required to be firm for the first year, permitting annual cost adjustments thereafter up to the LA/Riverside Consumer Price Index. The College reserves the right to reject any or all proposals, cancel the RFP without obligation, or award multiple contracts. Vendors must accept the College's standard agreement terms without modification as a condition of contract award and must maintain comprehensive insurance coverage including Commercial General Liability of at least $1,000,000 per occurrence and $2,000,000 aggregate, Professional Liability coverage, and Cyber Liability with minimum limits of $1,000,000 to $2,000,000 depending on coverage type. While specific budget values are not disclosed in the RFP documents, the College's annual ticket revenue of $475,000 provides context for the contract's potential financial scope.

Opportunity text

The purpose of this Request for Proposal (RFP) is to solicit proposals from qualified vendors to provide a comprehensive Live Event Ticketing Software Platform to support the sale, distribution, and management of tickets for on-campus and off-campus events hosted by Mt. San Antonio College ("the College") as well as events occurring at the College that are cohosted by third party entity and hosted by third party facility renters. The system must deliver a modern, secure, and scalable solution that improves the customer experience, streamlines operations.

The College sells/issues approximately 50,000 tickets annually valued at $475,000. This figure does ebb and flow as facility rental users in the Performing Arts Center are required to sell tickets for their events through the College Box Office. For Stadium events, the same requirement does not exist but the College offers ticketing services to facility renters. Additionally, the College issues 11,000 free tickets annually for its Commencement ceremony.

Currently, the departments, programs, and events that utilize the central campus box office do not offer season ticket packages. Our signature, high volume events are the Mt. SAC Cross Country Invitational and Mt. SAC Relays. These events require single ticket sales through a very fast and efficient process both online and in person.
