About this file
This document is a Request for Information (RFI) response document for the National Museum of American History (NMAH) Collections Move project. The RFI responses address specific clarification questions from potential contractors regarding collection moving procedures, including staffing requirements for packing stations, unpacking protocols for specific rooms and collections (such as tall clocks in room 2301), and handling of objects in archival boxes. Key details include guidance that smaller collections will be housed in archival quality containers, inspected upon arrival at Pod 6, and stored in cabinets, while larger crated collections will typically remain in their original crates and be moved directly onto storage racking. The responses also clarify that objects currently stored in the cold room at NMAH do not require specialized cold room storage, and provide specific instructions about condition checking, repacking, and storage methods for different types of museum artifacts during the relocation process.

SI RFI Tracking Number Reference Note QUESTION FINAL RESPONSE
SI-RFI-10-R1
In reference to SI-RFI-10: Can the NMAH collections staff provide at least eight people (up to twelve) to monitor multiple packing stations across different rooms or floors and supervise movements between packing and processing areas to prevent vendor delays?
The SI shall staff the working areas in a manner consistent with our guidelines after coordinating a work plan with the contractor. Refer to SI-RFI-13 response.
SI-RFI-121-R1 In reference to the Revised Response (3/14/25) for SI-RFI-121: Does this also include 4617 per the updated schedule?
4617 is not required to be completed until 730 days after NTP, but is recommended to be packed with or close to the other 4th floor rooms, to minimize disruption to the office floor.
SI-RFI-24-R1
In reference to the Revised Response (3/14/25) answer for SI-RFI-24: Does this refer to the entire collection or just the room where the tall clocks are currently stored? Will all objects need to stay in their newly fabricated housing
I believe the question is asking if only the tall clocks currently crated and stored in 2301 will be unpacked or if all objects currently crated in 2301 will be unpacked. If this is question, only the 64 tall clocks currently crated will be unpacked and stored on specialized shelving. Refer to attachment AHB 2301_yellowForUncrating. Objects highlighted in yellow are to be unpacked. All other objects will remain in their housing (new or existing).

SI-RFI-41-R1
In reference to RFI-41: We would like to clarify the approach to unpacking, and whether or not unpacking includes the removal of objects from archival boxes to assess them for condition changes. If so, will the items need to be re-packed into archival boxes or placed onto the shelves bare (without the archival boxes).
In the previously provided Collections + Move Specs Document, it states that “024400 - 3.6.B.2. For all other artifacts, objects will remain in their crates or archival quality storage boxes (e.g.
blueboard, MDO boxes). Remove containers from PFCs, Kivas or palettes and install boxed objects on shelves/ cabinets in Pod 6. Contractor is responsible for unpacking artifacts from all housing used for transportation prior to final placement of the artifact in storage.” This clearly states that all objects will remain packed in their archival board or MDO boxes, and this container will be stored at Pod 6 on shelving. Shall we assume that all objects must get unpacked for a condition check and then repacked into said boxes in order to "install boxed objects on shelves/cabinets in Pod 6.”?
The smaller collections (those that fit in cabinets) will be housed in containers using archival quality materials and standard museum housing methods. Once housed, the objects will be placed into shipping containers and secured for transit. Upon arrival at Pod 6, the housed collections will be removed from the shipping containers, the housings and objects will be inspected for damage, which may not require unpacking from the housing, and then the housed collections will be stored in the cabinets.
Larger collections that are crated will remain in their crates. The crates, as a rule, will not be opened upon receipt and will be moved directly onto the storage racking.
SI-RFI-44-R1 In reference to SI-RFI-44: If there is not a cold room at Pod 6, where is the final destination for the items requiring a cold room?
Objects currently stored in the cold room at NMAH do not require cold room storage.
