About this opportunity
The University of Texas at El Paso Department of Purchasing and General Services is requesting proposals for planning and scheduling software under RFP No. 724-2605-JBT, with proposals due March 16, 2026 at 3:00 p.m. Mountain Standard Time. The University is not restricting competition to the incumbent vendor and will consider all qualified proposals.
The software must integrate with the University's on-premises Ellucian Banner system and support updating specific section fields—particularly room assignments—without creating or removing scheduling sections. The solution must serve academic and non-academic event scheduling and be fully implemented and operational by June 2026, with a tentative award date of May 2026. The University's current planning and scheduling software agreement expires in May 2026 and does not anticipate transitioning to Banner SaaS within the next twelve months.
All proposals must be submitted electronically through the Miner Mall Sourcing Manager website at https://adminapps.utep.edu/sourcing/login.html, which requires vendor registration. Respondents must electronically acknowledge receipt of all addenda (Addendum 1 posted February 9, 2026; Addendum 2 dated February 24, 2026; Addendum 3 dated March 12, 2026) or their proposals will not be considered. A virtual bid opening will be conducted via Microsoft Teams with optional attendance; a sign-in sheet will be available through an online form.
James B. Trejo, Procurement Analyst, manages this procurement and can be reached at jbtrejo3@utep.edu or 915-747-5488. Complete RFP documentation, including evaluation criteria, technical requirements, and pricing structures, is available through the Miner Mall Sourcing Manager portal.
