About this opportunity
The Rockwood School District in Missouri is issuing a Request for Proposal (RFP No. 26-10101) for a comprehensive facilities management software platform to support the District's 47 buildings and approximately 1,579 users. The software must provide facility scheduling with filtering capabilities, work order management, asset tracking and inventory management, capital planning with predictive modeling, preventative maintenance management, interactive mapping with floor plans and asset markers, billing and invoicing functionality, integration with building automation systems, mobile applications for Android and iOS, and robust reporting capabilities. Proposers must submit questions by April 23, 2026, at 5:00 PM CDT, with proposals due by May 8, 2026, at 2:00 PM CDT through the District's Bonfire portal. Selected finalist demonstrations are scheduled for May 29, 2026, with Board of Education approval anticipated by June 16, 2026, and services to commence after July 1, 2026. The evaluation criteria are weighted as follows: system functionality (25%), user experience and support (25%), cost (20%), implementation (15%), and vendor qualifications (15%). The anticipated contract term is five years, subject to annual fiscal appropriation and the District's right to terminate with 60 days' notice if funding becomes unavailable. Vendors must maintain general liability insurance of $1,000,000 per occurrence, comply with K-12 CVAT cybersecurity risk assessment requirements, provide cybersecurity and data breach insurance certification, and maintain all District data exclusively on U.S.-based servers.
Vendors responding to this opportunity must comply with Missouri's Anti-Discrimination Against Israel Act by completing and notarizing an affidavit confirming non-engagement in boycotts of Israeli goods or services (required for contracts exceeding $100,000 and entities with 10 or more employees). All proposers must complete either the E-Verify certification process or document existing E-Verify compliance with a Missouri state agency, with enrollment documentation and a notarized Affidavit of Work Authorization required prior to contract award. Vendors must also complete the Acknowledgment Form certifying understanding of and agreement with all RFP terms and conditions, with pricing and terms to remain valid for a minimum of 90 days from the submission deadline. The District's standard payment terms are Net 45, and pricing proposals must exclude federal excise tax, transportation tax, and state retail sales tax, with vendors indicating whether pricing includes payment card acceptance and whether comparable pricing could be offered to other similarly-sized Missouri school districts. No incumbent vendors or budget range have been specified in the solicitation documents provided.
