About this file
This is a Statement of Work attachment providing instructions for processing Overseas Continental United States (OCONUS) printer consumable orders through the SOT system for the FAA's SAVES program contract.
Contractors must respond to daily consolidated order requests within two business days by completing a Microsoft Excel spreadsheet with specific formatting requirements. For each order, contractors must populate columns M through S, which include MSRP list price, unit cost, extended cost, vendor order number, delivery date, shipping cost, tracking information, and FAA approval status. If items are unavailable, contractors must document the reason in the vendor-order number column using specified categories: discontinued, invalid, not available, restricted, back ordered (with estimated time of arrival), or out of stock (with estimated time of arrival). Shipping costs require prior approval from SOT personnel before processing. If orders are partially approved and partially rejected, approved orders proceed while rejected orders await guidance from the Contracting Officer for potential cancellation. The spreadsheet is returned to the FAA for final approval marking in column T. Columns A through L—containing line item, shipping address, contact information, product description, part number, quantity, and printer manufacturer—are system-generated and must not be modified by the contractor.

OCONUS ORDERS INSTRUCTIONS
OCONUS ORDERS INSTRUCTIONS
All orders completed through the SOT system will be consolidated in a Microsoft Excel spreadsheet and sent via email to the Contractor on a daily basis. Each spreadsheet will have an SOT system generated Request (REQ) and Request Item (RITM). The format will include the following information (Attachment I – Quote Request Form (CONUS and OCONUS)).
Columns A-L should not be changed.
For OCONUS orders the following columns must be returned to the FAA in the following format within two business days of receipt.
| Column A | Line Item |
| Column B | Ship To Name |
| Column C | Address 1 |
| Column D | Address 2 |
| Column E | City |
| Column F | State |
| Column G | Zip Code |
| Column H | Phone |
| Column I | Product Description |
| Column J | Part Number |
| Column K | Quantity |
| Column L | Printer Manufacturer |
| Column M | MSRP List Price |
| Column N | Unit Cost |
| Column O | Ext Cost |
| Column P | Vendor-Order # |
| Column Q | Delivery Date |
| Column R | Shipping Cost |
| Column S | Tracking Info |
| Column T | FAA Approval |
The Contractor must place the order for all items available and complete Columns M through S. If an item is not available for any reason, that reason will be entered in Column P in lieu of the Vendor-Order #. If the CO rejects some or all of the shipping order cost, the CO must contact the vendor to begin negotiations. If an order is approved and another order is rejected in the same quote response, we proceed with processing the approved order. If the order is rejected, we wait for guidence from the CO; if directed, we will cancel the order. Column P will be completed with one of the following reasons: discontinued, invalid, not available, restricted, back ordered (identify ETA), and out of stock (identify ETA).
NOTE: Prior approval for shipping costs is required by SOT personnel. The spreadsheet will be returned for approval by the FAA, which will be marked in Column T.
