About this file

This is a narrative proposal template for a Managed Print Services Request for Proposal (RFP TI-24-388) issued by the City of Long Beach, California. The City seeks a contractor to provide Multi-Function Devices (MFDs) and desktop printers with both purchase and leasing options, including maintenance, support, and supplies. The template requires proposers to provide organizational information, demonstrate capacity and experience, and address specific technical requirements across six evaluation categories: Organizational Capacity and Experience & Performance, Project Design, Coordination and Collaboration, and Device Sustainability, Integrity, and Functionality. Proposers must complete the editable template with details about their core team expertise, existing customer references (2-5 references recommended), staffing plans, employee count, and information about any subcontractors involved in service delivery.

The proposal template requires detailed responses addressing how proposers will tailor solutions to meet the City's needs, manage equipment lifecycle and consumables, implement security measures for data integrity, and ensure Energy Star compliance and environmental sustainability. Proposers must describe their supply replenishment and toner management processes, approach to customer feedback and IT security practices, mechanisms for ongoing support and analytics post-implementation, and tools for coordinating with multiple City departments and stakeholders. The template also requests information on how proposers will handle service calls, device malfunctions, maintenance, training, technical assistance, and customer support to ensure successful implementation and sustainability of the managed print services solution.
