The District seeks qualified vendors to supply OEM toner cartridges from manufacturers including Hewlett-Packard (HP) and other brands for districtwide printers, with estimated quantities, manufacturers, and product numbers specified in Exhibit A (Bonfire BidTable). Remanufactured, gray market, and compatible toner cartridges will not be considered for this procurement. The contract is anticipated to commence on November 1, 2026, and continue through October 31, 2031, representing a five-year term. Award recommendations are anticipated to be submitted to the Board of Education on June 1, 2026, with formal Board approval expected by June 16, 2026. For HP brand toners specifically, proposers must be an HP qualified reseller with a valid HP location ID sourcing through an HP authorized distributor and have access to HP "Big Deal" pricing. All proposers must comply with Missouri statutory requirements, including submission of an Anti-Discrimination Against Israel Affidavit for contracts exceeding $100,000 with companies employing 10 or more individuals, certifying non-engagement in boycotts of goods or services from the State of Israel. Additionally, bidders must complete a Business Entity Certification and E-Verify Affidavit of Work Authorization form in compliance with Missouri Revised Statutes sections 285.525 and 285.530, demonstrating work authorization compliance through either enrollment in the federal E-Verify program or submission of previously completed E-Verify documentation. All proposals must be submitted electronically through the Bonfire portal after vendors register for free access, and proposers must complete an Acknowledgement Form certifying receipt of all addenda and agreement with RFP terms and conditions. The District's payment terms are Net 45 from date of invoice, and proposers shall not include federal excise tax, transportation tax, or state retail sales tax in their cost proposals.
