Command Information Management System (CIMS) III
“How to Get a CAC” Training
24 May 17 This process is only for employees that do not already have a CAC.
Employees who already have a CAC can use current CAC.

CAC Request Process Step 1: Company lead emails Rachel.m.Hickenlooper.civ@mail.mil requesting CAC for one (1) company employee using format on next slide (all info required).
Step 2: Mrs. Hickenlooper emails SMDC Trusted Agent (TA) to approve employee CAC.
Step 3: SMDC TA verifies completion of security investigation in JPAS database and enters employee data into Trusted Agent Sponsorship System (TASS) website.
Step 4: SMDC TA emails company lead a User ID and password for the requested company employee to use at TASS website.
Step 5: Company employee enters User ID and password at TASS website, when email notice is received.
Step 6: SMDC TA verifies information and approves application for CAC.
Step 7: Company employee proceeds to CAC-issuing facility to get CAC, after TASS emails approval. Note: CAC-issuing sites can be found at http://www.dmdc.osd.mil/rsl/
Step 1: Request CAC Email Companies must request CACs by emailing information in format below, replacing text in bold italics with company specifics:
SUBJECT: CIMS III CAC Request for Contractor Name (Employee Name) Mrs. Hickenlooper, Please add the following employee into the TASS system so they can obtain a CAC. They are supporting solicitation W91260-17-R-0001. I verify that our company and this employee has agreed to protect CIMS III data as marked, employee has completed an FBI fingerprint check with favorable results and that a National Agency Check with Inquiries, or a DoD-determined equivalent investigation, or greater, has been submitted to the Office of Personnel and Management for employee. Our company will either physically take back Common Access Card (CAC) not later than last day employee supports this requirement for which CAC has been issued or ensure it is returned to the CAC issuing office not later than last day employee supports this requirement for which CAC has been issued. If CAC is simply taken back by our company, we will return it and notify you of its return NLT 7 calendar days after CAC is returned. Employee information is, as follows: Last Name, First Name, Middle Name, Social Security Number, Date of Birth, AKO Email Address. Please call me at (XXX) XXX-XXXX if you have questions.

Note: SSN and DOB are Personally Identifiable Information (PII) and email should be encrypted and digitally signed to protect data. PII containment in password-protected document is also usually considered acceptable protection.
SMDC scans and reports on emails for PII not protected in one of the two ways described here.
Other Notes

| Use this process only for employees that do not have current CACs. |

| Employees requesting CACs should get email notification/approval in 2 business days, if company has properly requested approval. |
| Employees have 7 days thereafter to complete application online |
| After approval, employees have up to 30 days to pick up CACs |
| Contact KO if employee does not get notified within 2 business days |
| Commercially available CAC reader equipment will also be needed for CAC access. AKO Website has instructions/help desk for installing these. |
| SMDC-sponsored CACs will be revoked and must be returned when Government is finished providing information via AKO website, on contract award. |
