AKO Data Retrieval Process

| Two-step process to access this controlled data |
| Step 1: Request/obtain employee AKO account |
| Email rachel.m.hickenlooper.civ@mail.mil requesting AKO account for 1 company employee using format on next slide. |
| Click Register without a CAC at https://www.us.army.mil/ |
| Enter requested employee information |
| Enter tom.potter as AKO account sponsor |
| AKO account will be sponsored when Mrs. Hickenlooper approves |
| Once employees have AKO accounts, they should be added to AKO group with data access privileges in 2 business days. They will not be able to access data until they finish Step 2 and actually obtain a CAC and install CAC reader for identify verification. |
AKO Account Request Letter Companies must request AKO account by emailing information in format below, replacing text in bold italics with company specifics:
Subject: CIMS III AKO Request for Company Name (Employee Name) Dear Mrs. Hickenlooper, As authorized representative of Company Name, Cage Code ####, I hereby request you sponsor an Army Knowledge Online (AKO) account for our employee responsible for downloading and protecting CIMS information, Mr/Ms First MI Last Name.
We understand that this employee will be responsible for downloading all needed information for our company’s use. We further understand that this is “limited distribution” data that must be protected at all times and is provided solely for the purpose of bidding on solicitation W91260-17-R-0001. Our employees will not redistribute this information outside our company or place it anywhere it can be accessed by others. We will destroy downloaded information and copies when we have decided not to bid or, if bidding, on date contract is awarded. We assume responsibility for all our employee’s actions with respect to handling this data in accordance with markings, thereon.

AKO Data Retrieval Process
| Step 2: Request/obtain employee CAC |

| Enter requested employee information, when Trusted Associate Sponsorship System (TASS) email notice is received |
| Proceed to CAC-issuing facility to get CAC when TASS sends email approval |
| CACs will be processed for approval after Mrs. Hickenlooper approves |
| Use this process only for employees that do not have contractor CACs |
| Employees requesting CACs should get AKO email notification/approval in 2 business days and have 30 days to pick up CACs |
| Commercially available CAC reader equipment will also be needed for CAC access. AKO Website has instructions/help desk for installing these. |
| CAC will be revoked and must be returned when Government is finished providing information via AKO website. |
CAC Request Letter Companies must request CACs by emailing information in format below, replacing text in bold italics with company specifics:
SUBJECT: CIMS III CAC Request for Contractor Name (Employee Name) Mrs. Hickenlooper, Please add the following employee into the TASS system so they can obtain a CAC. They are supporting solicitation W91260-17-R-0001. I verify that our company and this employee has agreed to protect CIMS data as marked, employee has completed an FBI fingerprint check with favorable results and that a National Agency Check with Inquiries, or a DoD-determined equivalent investigation, or greater, has been submitted to the Office of Personnel and Management for employee. Our company will either physically take back Common Access Card (CAC) not later than last day employee supports this requirement for which CAC has been issued or ensure it is returned to the CAC issuing office not later than last day employee supports this requirement for which CAC has been issued. If CAC is simply taken back by our company, we will return it and notify you of its return NLT 7 calendar days after CAC is returned. Employee information is, as follows: Last Name, First Name, Middle Name, Social Security Number, Date of Birth, AKO Email Address. Please call me at (XXX) XXX-XXXX if you have questions.

CIMS III AKO Library Request Letter If employee already has a CAC and AKO account, companies must request library access, instead, by emailing information in format below, replacing text in bold italics with company specifics:
Subject: CIMS III AKO Request for Company Name (Employee Name) Dear Mrs. Hickenlooper, As authorized representative of Company Name, Cage Code ####, I hereby request you give the following employee CIMS III AKO Library Access. He/she already has an AKO account named "first.mi.last.ctr@mail.mil" and is ready for immediate access.
We understand that this employee will be responsible for downloading all needed information for our company’s use. We further understand that this is “limited distribution” data that must be protected at all times and is provided solely for the purpose of bidding on solicitation W91260-17-R-0001. Our employees will not redistribute this information outside our company or place it anywhere it can be accessed by others. We will destroy downloaded information and copies when we have decided not to bid or, if bidding, on date contract is awarded. We assume responsibility for all our employee’s actions with respect to handling this data in accordance with markings, thereon.

Distribution Limitations

| “Distribution Statements” clarify who can access: |
| Distribution A: Public Release (no restrictions) |
| Distribution D: DoD and US DoD Contractors (no foreign companies) |
| Export Control Warning: No foreign citizens or companies |
| Company can avoid mistakes/confusion by simply keeping it internal |
| Distribution rule is placed on first page of document but applies to all pages in document |
| Criminal penalties may be assessed for improper release of data |
Handling/Destroying Data
| Unclassified/Limited Distribution documents shall be handled using the same standard as "For Official Use Only (FOUO)" material |
| Must be destroyed by any method that will prevent disclosure of contents or reconstruction of the document. |
| Reference DoDD 5230.24 and DoD 5200.1-R for more information regarding authority and requirement to mark and handle technical documents correctly. |
