1. Introduction
1.1 General Information
1.1.1 Scope
This document provides material on set-up, operation, maintenance, and troubleshooting of the Video Take Home Package Mobil Studio and its components. The key principle of operation for VTHP is to receive live video and audio sources during an event and determine which signals should be used for the live master recording, and to produce high quality video take-home packages within short turn-around
Operator User Manual for the Operating of FLEXTRAIN Video Take Home Package (VTHP) times. The equipment design and workflow, is very similar to that used in a television news studio or other live event recording environment, where multiple camcorders and microphones (mics) are routed through an audio/video (A/V) switcher, allowing a single program output to be sent to recording devices.
1.1.2 Safety
a) When moving the components of the VTHP stations, most major items require a minimum of two personnel to lift. Take special care when trouble-shooting the systems to avoid electrical shock, which may cause injury and/or damage to the equipment. The Uninterruptable Power Supply (UPS) should be powered down and have the battery disconnected when being shipped.
b) Cases
(1) Inspect latches for any damage.
(2) Wipe down outside of aluminum cases and inspect for corrosion.
(3) When moving VTHP cases, always use a two/four-person lift.
(4) Use caution when pushing kits in stack position as they are top heavy and could fall over on uneven Figure 1- Two person lift surfaces.
(5) After covers are removed, push latches back to locked position as objects can get snagged on them and they can cut you.
c) Cables
(1) Avoid hard bending or twisting of cables, as well as rolling over them with the kit, as this can cause a short or break in signal or other damage.
(2) Inspect all cables for dirt, breaks, knots or damage, and rectify any of these conditions.
(3) Inspect all connections/adapters for a secure fit and replace any damaged adapters.
(4) When running cables under floor a good idea is to wrap all connectors with plastic and secure with tape as water has been known to accumulate under the tents and leak through the floor.
1.1.3 Security
a) No part of the Pre-mobilization Training system hardware/software are classified. Protection of electronic and hard copy information created and stored is the responsibility of the user in accordance with applicable policies and local SOP.
b) Equipment not stowed in lockable transit cases should be secured together with a wire cable and lock routed through the handles of the VTHP and AUX Systems.

3. Operator Maintenance Instructions Wipe all dust-off screens and switcher, Monitor wipes and canned air works well.
Do not blow canned air onto any vents on equipment coated with dirt; this blows it into the case and accumulates inside.
Isopropyl alcohol and cotton swabs are useful for detail cleaning and circuitry. The Alcohol is safe and will not corrode hardware.
While setting up for your use, prior to inserting the blank DVD+R master disc into the DVD recorder, verify that the disc is not scratched or damaged. While some discs can be damaged without showing visible evidence, most damaged discs will have visible scratches that can be identified and discarded.
During hot and humid environments, the A/C can produce condensation in the air ducts and will drip down onto the equipment, so placement should be planned. Have some sort of rag or paper towels handy to mop up any such mess.
Packages of desiccant work well to reduce humidity inside cases and protect hardware.
3.1 Troubleshooting
a) General Troubleshooting guide: Cabling, Power, Reboot (CPR)
The list of events that can go wrong is too large to publish. However, this section can record the steps taken for particularly unusual circumstances, as well as some tips that will assist you in solving most issues (similar to lessons learned).
The primary method for troubleshooting problems with media equipment is checking following signal flow. First, ensure that whichever device that is producing your signal is operating properly. This can include checking that your power source is functioning properly such as batteries and secure power cables. If the device seems to be functioning properly, check it on a known good audio/video channel and ensure that it is sending the proper signal. If the problem persists on the non-working channel, check your cabling/receivers for breaks and errors. You can also plug you’re the cable into a known working channel to ensure that the signal is properly sending through the cable. If the source and the cable is sending a good signal, check the channel itself. Ensure that it is powered, and that the settings for the channel are setup to receive the type of signal that you are sending it. For a video source, check the internal menu inside of the video switcher and confirm that the signal type selected matches the type of signal that is plugged into it on the back (CV, YUV). if it is an audio signal, assure that the trim for the channel is at a normal level as well as the master volume is set at a normal level, then try increasing the volume on the bad channel and see if you can get a signal. If you are not getting the desired signal, check the other devices that may receive the signal before it gets to the channel where you are checking
it. If they are not confirming reception of the source, you may have a connection issue or a short in the hardware. If this happens, notify your chief operator for further proceeding.
A good way to learn what to look out for is to watch previous VTHPs. Doing so will provide a better understanding of the Operator’s goals, requirements, and challenges. Pay close attention to audio levels and picture quality.
While setting up for your event, prior to inserting the blank DVD+R master disc into the DVD recorder, verify that the disc is not scratched or damaged. While some discs can be damaged without showing visible evidence, most damaged discs will have visible scratches that can be identified and discarded. This simple, 3-second check can save a lot of time and headache later.
Some of the most common problems and quickest fixes can be caused by cabling, power, or just rebooting the system. Make sure that all the cables are connected properly and secured correctly. Loose or disconnected cables usually tend to hide in piles of cable (“rat’s nest”). If the device needs power, be sure to check that the power cord is fully plugged in on both ends. If an emergency arises contact a FAE or systems lead immediately.
If you cannot locate the issue within 5 minutes, contact the lead or FAE, get out a pen and paper and write down what happened and everything you do. This will help diagnose the issue much quicker when the lead or FAE arrives.
b) Broken or Malfunctioning Equipment
If you find a piece of equipment that is broken or not functioning correctly contact the lead or a FAE for replacement or troubleshooting tips. Below are some things that you can attempt in waiting for the lead or a FAE to arrive.
c) Software Troubleshooting
If something that is not supposed to happen in the software, including: freezing, locking up, or not displaying properly, contact a FAE and your lead immediately. Write down what happened. If the lead or FAE is not in the area to look at the machine, restart the software. If the software cannot be closed, restart the computer.
d) Power Issues
If the generator fails to power on or spontaneously shuts down, contact the systems lead or a FAE, do not try to fix it yourself, a generator tech will be sent out to fix the problem.
If the UPS does not stop beeping, this means that it is not connected to a power source. Make sure that the power cord of the UPS is plugged into the Power Distribution box; reset the socket that it is plugged into. If that still does not work, try changing what socket it is plugged into. Make sure that the Power Distribution Box is receiving power from the generator.
If the UPS is on but none of the rack equipment is powering on, check that they are plugged into the power strip and that the power strip is plugged into the UPS. Also make sure that the power switch is turned on. If the monitors do not turn on, check the power connections and check if the power strip is also turned on and plugged in.
