About this file
This document details a Cleared Check Data File format specification for County and Constitutional Officers, outlining a text file structure for processing bank check data. The file is designed as a fixed-width format document that can be downloaded from a bank website and uploaded into a financial system to clear checks. Each data record contains specific fields including account number, check number, check amount, and check date, with a standardized layout requiring precise field sizes and data types.
The file format includes two primary record types: a data record and a footer (end-file) record. The data record captures individual check details using 10-character account numbers, 10-character check numbers, 12-digit check amounts (interpreted with an implied decimal point), and 8-digit check dates. The footer record provides summary information, including a total record count and a summary amount, with fields hardcoded and left-padded with zeros. The source file example demonstrates the exact formatting, showing multiple check entries followed by a total record, which can be used consistently across financial systems for the specified governmental entities.
