About this file
This document provides business visitor registration instructions and directions for a pre-proposal meeting and site visit related to a Request for Proposal (RFP) solicitation.
The pre-proposal meeting and site visit are scheduled for Wednesday, April 8, 2026 at 10:30 a.m. Central Time at Fermilab in Batavia, Illinois. Visitors must enter through the Pine Street (West Gate) entrance to obtain a Business Visitor Badge at the Fermilab Badging Office, located on the south side of Pine Street. Following badge acquisition, attendees will proceed to the MINOS Service Building for the site visit. All prospective offerors must complete a Site Access and Badging form through the Fermilab online portal, which requires approval by the Point of Contact (Danielle Amico in the Finance Department) before access is granted. Non-U.S. citizens' requests are routed to the Foreign National Access Program (FNAP) office and Export Control for verification. Once approved, onsite visitors receive an informal letter with a QR code to present upon arrival, and all business visitors must present a valid REAL ID at the security gate. Non-U.S. citizens must also complete onboarding in WorkDay and will receive a formal invitation letter for visa purposes if needed. For registration assistance, visitors should contact access@fnal.gov. The purpose of visit is identified as a "Procurement Meeting" with the description "Site Visit," indicating this is related to a federal procurement opportunity.
