About this file

This document is an instruction guide for completing a Consolidated Maintenance Contract Inventory form used for tracking equipment and facility assets.

The inventory form requires detailed information across multiple columns organized into three main sections. The first section captures identification and classification data including a three-letter short code, six-digit inventory number, two-letter item code, four-digit object class code, equipment type description, manufacturer name, model number, and serial number—all of which must be entered exactly as they appear on equipment data plates without spaces or dashes. The second section documents operational details: year purchased (YYYY format), DeCA barcode (text with 2 letters and 7 digits), physical sub-location within the facility, preventive maintenance interval (single digit), and calendar weeks scheduled for PM tasks (two-digit numbers separated by commas if multiple intervals apply). The third section addresses refrigerant specifications, including the number of items covered under a single inventory entry, F-gas type designation (e.g., R4449A, R744), and refrigerant quantity in kilograms. Key requirements include prohibiting blanks in the first nine columns; using "Not Found" or "Unreadable" instead of "Unknown" or "Missing"; marking obsolete items in red text for COR review and removal; marking new items or updates in green text for COR review and SOMS addition; and applying specific definitions for ventilation systems (with ductwork and controls) versus exhaust fans (with no ductwork). Sub-locations must reference actual facility areas, position numbers for refrigeration equipment, or CAN bus addresses, with special requirements for Germersheim and KCS locations to include building numbers and warehouse letters.
