The award will go to the lowest responsive and responsible bidder, and all sellers must quote every item in the inventory to be eligible. A Local Business Entity (LBE) certification preference applies.
The scope covers preventive maintenance and support for 32 pieces of equipment — Dell PowerEdge servers (models R240, R740, R730, R440, R540, R230), HP ProLiant DL320 G5 servers, Dell EqualLogic PS6610 storage systems, and Dell PowerVault ME4012 storage devices — all located in Philadelphia. Equipment covers virtualization, video surveillance, storage, backup, and network-management applications. All equipment is subject to an 8 business hours by 5 days per week, next business day response Service Level Agreement.
The micro purchase pricing ceiling is $45,000, adjusted annually by the percentage increase in CPI-U from January 1, 2020, rounded to the nearest $1,000. Quoted prices must remain valid for 60 days and shall remain in effect throughout the 365-day contract term unless otherwise approved by the Procurement Department. The contract commences upon issuance of a Purchase Order; the City places no minimum-order obligation. Pricing must be net and exclusive of taxes. Delivery is FOB Destination Point.
Sellers must carry General Liability Insurance with a $500,000 per occurrence limit, Workers' Compensation at statutory limits, and Automobile Liability with a $300,000 per occurrence limit. Sellers must execute a Consent and Authorization Agreement prior to bid closing and submit it via the PHLContracts eProcurement platform or attach it to their vendor profile.
