About this file
This is a Seller Checklist document from the City of Philadelphia Procurement Department for small order purchases submitted through the PHLContracts platform. The checklist outlines the procedural steps for vendors submitting quotes for maintenance support for Dell and HP servers. The micro purchase will be awarded in its entirety to the lowest responsive and responsible bidder, with sellers required to quote all items to be eligible for award. Services must not commence until official notification is received from the department. This procurement will result in a Requirements contract upon award.
The checklist establishes mandatory submission requirements including verification of seller role status, Local Business Entity (LBE) certification status, unit cost entries for all listed items, completion of all mandatory questions, acceptance of terms and conditions, and submission of required attachments. Vendors must provide an executed Consent & Authorization form on file in their vendor profile or attach one with their quote, as no quote will be considered without this document. The checklist also indicates that an optional LGBTQ Applicant Opportunity Data Form is available for submission. All validation warnings must be resolved prior to quote submission through the PHLContracts platform, and vendors are responsible for saving their work at each step to prevent loss of information.
