Section I: Introduction to PE2E

Patents End-to-End (PE2E) enables a new way of processing patent applications, providing users a single access point to manage examination activities and supporting the work done now outside or across existing systems. These systems include work management, application document viewing, searching, Office Actions, and saving reference information and electronic notes for easy retrieval.

Uses consistent keyboard commands throughout tools

“Designing with the Patent Corps for the Patent Corps” has been the motto throughout the design and development of PE2E. As opposed to software engineers deciding in a vacuum what Patent

Examiners need, the process instead began by asking the users what they wanted and designed according to that feedback. From this outreach, the following guiding principles were developed for PE2E:

DAV was created to meet the needs of US Patent Examiners for the electronic examination of applications. This interface is linked to the PALM (Patent Application and Location

Monitoring) and RAM (Revenue Accounting Management) systems.

eDRS is used to access mailboxes and electronically review and edit documents.

Section II: Navigation

Launch PE2E-eDRS

Open PE2E from the Start menu > All Programs > _Patent Examiner’s Toolkit > PE2E.

Mailbox Viewer

The Mailbox Viewer supports users’ efforts to manage work load, make informed decisions on how to prioritize tasks, and understand the impact of decisions on performance goals. The

Mailbox Viewer gives users control over work by pulling everything together into one convenient place and supporting different working styles.

Users can customize the Mailbox Viewer to best fit their needs, the viewer provides multiple functions to increase productivity and efficiency during the examination process. The Mailbox

Viewer is enhanced by tools, each providing quick links to helpful sites such as PALM and

STIC, while also allowing users to effectively manage applications through the use of an application planner.

The PE2E Mailbox Viewer refreshes automatically when opened. The month/day/time stamp indicates when the mailbox was last refreshed. The Refresh button is grayed out for 5 minutes after the last refresh. An auto-refresh of the mailbox occurs 15 minutes after the previous refresh.

Active Messages Tab and Teams Filter

By default, the Active Messages tab will open to display messages in a selected Team Mailbox.

Use the down arrow to expand the Teams filter to access mailboxes and select mailboxes to open. Filters will appear for up to five selected mailboxes.

To add a filter:

1. Click and expand the Teams menu.

2. Select a Team Mailbox. A maximum of five filters can displayed.

To remove a filter:

1. Click the Remove button to the right of the filter.

The Active Messages tab can be reopened using the Gadgets Briefcase button.

Sort

Messages are sorted by clicking a column heading. When shown, the up arrow indicates the field is sorted in ascending order, and the down arrow indicates the field is sorted in descending order.

To perform a multi-column sort, single-click the column heading of the first requested sort. Hold down the Shift key and click the column heading for the next requested sort. Continue to sort additional columns by holding down the Shift key and clicking additional column headings.

For example, sort messages by:

Date to act on oldest messages (as shown below).

Document code to act on all Amendments (A…) or Amendments After Final (A.NE) messages.

Filtering Messages by Status

Messages can be filtered by status by clicking to expand the Status Filter menu and selecting the appropriate filter from the list of options: All, New, Closed, Open, Forwarded, or Pending.

The current-set filter will remain active until the application is closed or the Status Filter is set to a new category. To view all messages, set the Status Filter to All.

Customize Columns

Columns can be rearranged using click-and-drag to a new position. Add or remove columns using the Hide and Show Columns button or right-click any of the column headings.

Click the Get Data For All button to populate GAU and PALM STATUS columns.

Messages

The message is contained wholly within the Text column. Navigate the list of messages using the up or down arrow key on the keyboard. The user may create, reply, and forward messages to other users concerning the file contents of a particular patent application. Right-click a message to access Reply, Forward, or Delete functions.

To reply to a message:

1. Right-click the message text and select Reply to Message.

2. Enter the response in the Message field.

3. Click Send.

To forward a message:

1. Right-click the message text and select Forward Message.

2. The Forward Message(s) window will appear. In the Current Team field, select the

Team that is forwarding the message.

3. In the To Team field, select the recipient Team Mailbox.

4. In the User field, select the recipient, click Send.

To delete a message:

1. Right-click the message text and select Delete Message.

2. In the Delete Message(s) window, click Delete.

Additional Right-click Menu Options

Edit application(s) opens the application contents in the Application Editor. Actions such as, but not limited to, Split and Edit Doc Code can be done here. The user can decide to open in a new tab or new window; clicking the Application Number will perform the same function.

Applications viewed with an Edit option will have the yellow Gadget toolbar.

Open application(s) will open the application contents in the Application Viewer. Actions such as, but not limited to, Print, OCR, and Add Notes can be done here. Applications viewed with an Open option will have the black Gadget toolbar.

Unassigned Messages will retrieve the unassigned messages from the current Mailbox, allowing the non-manager to assign additional messages to self.

To transfer unassigned messages to self:

1. Right-click any message row in a mailbox, except the Application Number column.

2. Select the Get Unassigned Messages option.

3. In the Team Messages window, select the messages to assign to self. Select the Extend

Selection check box to include all messages for any selected application(s).

4. Right-click any message row and select Transfer to Self.

Get Data for All/Selected will retrieve PALM and GAU information for the respective columns.

The Get Data For All button will retrieve information for the current mailbox.

Navigate recently opened or edited applications using the Application Viewer.

To use the Application Viewer:

Click the Application Viewer button to see the Open Applications and Recent

Applications lists.

Applications opened into the Application Editor will be marked with (EDIT).

Application Lookup

Look up a U.S. Application number, U.S. Patent, PCT number, PG Pub number, Attorney

Docket number, and Foreign Application number using the Application Lookup field.

To use Application Lookup:

1. Enter an application number into the blank text field to the right of U.S. Application on the

PE2E Application Lookup toolbar. The application number can be entered in any format, with or without commas, e.g., 11123456, 11/123456, 11/123,456.

2. Click the Edit button to open the patent application in the Application Editor in a new window.

OR

Click the Open button to open the patent application in the Application Viewer in a new window.

Team Manager

The PE2E-eDRS Team Manager allows users to assign previously unassigned IFW messages to team members. Only Team Managers will see the Team Manager button on their Mailbox

Viewer toolbars.

To open the Team Manager mailbox:

1. Click the Team Manager button.

2. Select where to open the Team Manager tab.

To switch between the mailbox filters or IDS QC tasks:

1. In the Team Manager tab, use the down arrow to expand the menu to access mailboxes or IDS QC tasks.

Click Mailboxes to populate the Teams menu with mailbox filters.

Click IDS QC to populate the Teams menu with tasks by TC.

To select a team:

2. In the Team Manager tab, use the down arrow to expand the Teams list to access mailboxes and select mailboxes to open. Filters will appear for up to five selected mailboxes.

3. Click mailbox filters to navigate between the open mailboxes.

To retrieve GAU and PALM data:

1. Check one or more boxes in the Multi-Select column to select messages to retrieve data.

2. Right-click to expand the menu and select Get Data for Selected, or click the Get Data for All button.

To assign to users:

1. Check one or more boxes in the Multi-Select column to select messages to be assigned.

2. Right-click to expand the menu and select Assign to User.

3. An Assign Messages window will open.

4. In the Assign Messages window, click and expand the User list; select a user.

5. Click the Show/Hide Selected Messages button to view all unassigned messages that will be assigned.

Send all messages:

The Extend Select check box is checked by default and will allow all unassigned messages for the selected application(s), even if only one message was originally selected to be assigned to the user. All unassigned messages related to an application will be assigned to the same user.

Send only selected messages:

Uncheck the Extend Select box to assign only the originally-selected message(s).

Only the originally-selected message(s) will be assigned to the user.

6. Click the Show/Hide Selected Applications button to view all selected applications.

7. Click Assign Messages.

Note: The Team Members list is displayed in the lower half of the Team Manager tab; if one of the members is selected in the list, they will be the default user that appears in the User field.

To assign to self:

1. Check one or more boxes in the Multi-Select column.

2. Right-click to expand the menu and select Assign to Self.

To forward a message:

1. Check one or more boxes in the Multi-Select column, right-click to expand the menu, and select the Forward Message option.

2. Select To Team and User.

3. Click Send.

To close a message:

1. Check one or more boxes in the Multi-select column, right-click to expand the menu, and click Close Message.

2. The Status column of the message in the Team Manager tab will then indicate the message is CLOSED.

To delete an unassigned message:

1. Check one or more boxes in the Multi-select column for unassigned message(s), right-click to expand the menu, and click Delete Message.

2. To confirm, click OK.

PE2E Preferences

Font Preferences

Users can adjust the Mailbox Viewer and Application Editor fonts, font sizes, and font styles to meet personal preferences.

1. Click the user name in the upper right corner of the PE2E Mailbox Viewer window and select Preferences.

2. Click Appearances to view the available categories that independently affect the General

Fonts, the fonts of the Text Documents, Toolbar and Metadata Font, TOC Color, and

Mailbox Message Color.

3. Choose the font type to be changed; each setting choice includes a preview window.

Click General Fonts to change the font of the data listings and column headings. Click

Text Documents to change the font style and font zoom that show in text documents. Click

Toolbar and Metadata Font to change the settings for toolbars as well as many of the hover-over metadata fields.

4. Click Save and Close after changing one or more of the font settings. Changes are reflected in the Mailbox Viewer, Application Editor, and Application Viewer windows.

Click TOC Color to change the TOC type color settings for COPY, Not Scanned, STAMP, and Scanned. The user can change the Font Color and the Background color.

Click the Mailbox Message Color option to change Mailbox Message type colors settings for Closed, Forwarded, Open, Pending, and New message types. The user can change the

Font Color and the Background color.

Note: Some users may need to scroll down in the PE2E Preferences window to access the buttons at the bottom of the window. To restore any category of font settings back to its original default, return to that category in the PE2E Preferences window and click Reset to Default.

Application Viewer Options

Use the radio buttons to select from the various options listed. Click Save or Save and Close to save and keep changes. Users have the option to enable or disable warning messages when closing the Docket or Application Viewer windows, and setting the initial document display to the Image or Text version. An abbreviation for the labels of the documents tab names can be set, and a

Default application lookup type can be selected.

Accessibility Options

Use radio buttons to select accessibility options. Click Save or Save and Close to keep changes.

Printing the Mailbox

Users have the option to print the mailbox. This will print the mailbox messages listed. Click the messages tab Print button, and on the Print Options window select the orientation and click

Print. A dialog window displays that is used to set print preference options. Set options, click

Print.

Section III: Application Editor

The Application Editor displays all documents and data associated with a single patent application. The flexible layout options allow users to open the Application Editor in a separate window or separate tab.

Editor Contents

The Editor Contents tab displays all the documents and data associated with the application.

The information can be rearranged according to user preference. The Editor Contents tab refreshes automatically when an Editor Viewer window is opened. The month/day/time stamp indicates when the contents list was last refreshed. The Refresh button is grayed out for

30 seconds after the last refresh. An auto-refresh of the application occurs 5 minutes after the previous refresh. If it is available, click the Refresh button in the Editor Contents tab to refresh the content list. If the tab is not visible, enable it by clicking the Editor Data button on the

Gadget toolbar.

Print Documents

Users can print multiple documents from the Application Editor tab.

To print multiple documents:

1. Check the boxes in the selector column for documents.

2. Right-click in the highlighted row and click Print.

3. A dialog window displays, it is used to set print preferences. Set preferences, click Print.

Users can print any open document in the Application Editor.

To print an open document:

1. Right-click a document and click Print.

2. A dialog window displays, it is used to set print preferences. Set preferences, click Print.

The Tagged Pages function is disabled when using this method.

Filter and Sort Documents

Documents listed in the Editor Contents tab can be filtered and sorted to show users a particular type of document. The filter and sort features can be used independently or applied together.

Filter

To filter the type of documents displayed, click the Filter By: button and select a category in the list. The number of documents in a category is shown in parentheses and only the documents in that category will display in the Editor Contents tab.

The currently-set filter will remain active until the application is closed or the document filter is set to another category. To view all contents of the application set the Filter By menu to All.

To filter by status, click the Active filter; select a status: Active, Closed, Scanned, or Public.

Sort

Columns can be sorted by clicking the column headings. A column will be sorted in ascending order, indicated by an upward pointing triangle adjacent the column heading as depicted in the figure below, or descending order, indicated by a downward pointing triangle.

To perform a multi-column sort, single-click the column heading of the first requested sort. Hold down the Shift key and click the column heading for the next requested sort. Continue to sort additional columns by holding down the Shift key and clicking additional column headings.

Customize Columns

Editor Content Actions

Editor Content actions are in the right-click menu; to display the menu right-click a document row.

Set Closed

To close a document:

1. Select the Active, Scanned, or Public document status filter.

2. Select the document(s) to close.

3. Right-click the document and select Close Documents.

Re-open a Closed Document

To re-open a document:

1. Select the Closed document status filter.

2. Select the document(s) to re-open.

3. Right-click any one selected document and select Re-open document(s).

Annotation

To annotate a document:

1. Select a document to annotate. Right-click and select Create/Edit Annotation.

Alternatively, click the Create/Edit Annotation button in the Annotation column.

2. In the Document-level Notes window, enter the new comment.

3. Click Save.

Set Handled

To place the current user’s ID, to mark that work as completed by the user:

1. Select the document(s) to set handled.

2. Right-click and select Set Handled.

IFW Messages

When Edit Application is accessed from the Active Messages tab, users have IFW Message options in the right-click menu.

IFW Messages: Opens a list of all IFW messages related to the current application.

Create Message: Create a new IFW message.

Reply: Reply to the Sender of the IFW message which accessed the current application.

Forward: Forward the IFW message which accessed the current application.

Close Application

After closing an application that was accessed from the Active Messages tab, the Close

Application window will display in the Mailbox Viewer. Make a selection by clicking a radio button and then click OK or Cancel. The message Status in the Active Messages tab will update.

Editor Data Tab

Bibliographic Data

The bibliographic information for the application is listed in the Editor Data tab. If the tab is not visible, enable it by clicking the Editor Data button on the Gadget toolbar.

The top portion of the Editor Data tab displays the following information:

Application number

Application title

Examiner name

Application type

Application status

Copy Application Number or Application Link

Right-click the Application Number in the Editor Data tab and select Copy Application

Number or Copy Application Link to place it on the clipboard.

User Access History

Open the User Access History from the Gadget toolbar to display a list of users that have opened or edited the Application in IFW.

Date/Time: The date and time stamp which the IFW Application was accessed.

User: Users are listed by PTONet User ID.

Code: ADHOC is displayed when an Application was accessed by Application number.

IFW is displayed when an Application was accessed by clicking an IFW message.

Comment: Displays the tool used to access the IFW Application.

The User Access History shows the user, application type, and the date/time the case was accessed in IFW. To view the User Access History, click the User Access History button on the

Application Editor Global toolbar. Select a location for the User Access History tab from the

Open In window.

Documents Viewer Pane

Open Documents

To open documents, double-click a document in the Editor Contents pane.

Unpinned

Documents will open and display in a new tab. An empty blue circle appears on the document tab.

The empty blue circle indicates that the document is opened and unpinned, which means that if another document is opened, the new document will open in place of the current document.

Pinned

To pin the document to the tab so other documents do not replace the document, click the document tab. A solid blue circle will appear in the Application Contents tab which indicates the document has been pinned. Pinned tabs will remain open until manually closed. The empty blue circle no longer appears on the document tab.

Tag Pages

Tag any number of pages to perform one action simultaneously to all tagged pages.

To tag a page, click the Tag button or the Page Number check box in the Thumbnail or

TOC view.

To tag all pages of a document, click the Tag All Pages check box in the Thumbnail or

TOC view.

When printing, select the radio button to print Tagged Page(s).

Document Editor Tools

When a document editor tool is activated, a frozen application warning will be displayed if the user attempts to edit a document while another user is doing so.

Use the document editor tools to Split, Edit Doc Code, or Stamp/Annotate.

Stamp/Annotate

To access the stamp or annotate tools, click the Stamp/Annotate button.

Alternatively, access Stamp/Annotate from the Editor Contents tab by right-clicking a document and selecting Stamp/Annotate. When accessing the stamp or annotate tools, the system will lock the application until the stamp or annotate actions are complete.

To select stamping options:

1. Click the Stamping Options button.

2. Select check boxes to include the application number and/or date.

3. Select a radio button to stamp All Pages of the current document or stamp Tagged Pages.

To apply a stamp:

1. Click the Stamps button.

2. On the Stamp/Annotate toolbar, select the stamp to be applied.

3. Click and drag to reposition an active stamp.

4. To clear active stamps, click the Clear all edits button.

5. The Close Original check box is marked by default. If the original document needs to remain active, uncheck the Close Original check box.

6. To cancel and clear all edits, click Cancel. To save the document, click Save. Saved stamps become part of the IFW image and cannot be repositioned.

To apply an annotation:

1. Click one of the annotations buttons. The selection will remain active until deselected.

2. Click the location on the page to apply the annotation.

3. To deselect the annotation tool, click the Annotation button.

4. To remove an active annotation, hover over the annotation and click the X. To clear active annotations, click the Clear all edits button.

Edit Doc Code

To edit the Doc Code:

1. Click the Edit Doc Code button.

2. The Doc Code field can be filled out in the following ways:

a. Enter a Doc Code and a type ahead feature will display valid options.

b. Click the Document Code arrow to access a quick listing of valid Doc Codes.

c. Click the Show Doc Code Descriptions button to access the list of Doc Codes and descriptions; showing Doc Code descriptions for a blank field will display a full list of available Doc Codes.

3. Click Apply.

The Doc Code can also be changed from the Editor Contents tab. Right-click the document and select Edit Doc Code.

Split Document

To split a document:

1. Click the Split button.

2. Enter the Start Page and End Page for the first document type.

3. By default, the current Doc Code is displayed in the first Document Code field. Click the first Document Code list to make a change.

4. Enter the Start Page and End Page for the second document type.

5. Click the second Document Code menu to assign a document code.

6. Use the Add New button to increase the number of split documents; repeat steps 4 and 5.

The document can also be split from the Editor Contents tab. Right-click the document and select Split Document.

Additional document actions can be done by using the right-click menu for a document from the

Editor Contents tab.

Join Documents

To join documents from the same date cluster and same package:

1. In the Editor Contents tab, select documents from the same date cluster using the check boxes in the Multi-select column.

2. Right-click one of the selected documents and click Join Documents.

3. The Join Documents window allows the following modifications:

a. Change Doc Code.

b. Change document order. In the Document Order field, enter the new order value.

4. Click Apply.

Copy Document

To copy a document into another application(s):

1. In the Editor Contents tab, select document(s) to copy, right-click and click Copy.

2. In the Number of the target application field, enter the application number for the copied document placement, click Add. The target application number will display in the Copy to application(s) field.

3. Alternatively, multiple application numbers may be added:

Click the Load from File button to add numbers listed in a plain text file (.txt).

Click the Paste from Clipboard button to add a list of numbers that have been copied to the clipboard.

4. The Copy with Overlay check box is marked by default. Copied document(s) in the target

Application will be stamped “Copied from XX/XXX,XXX on MM/DD/YYY” at the bottom of each page. To disable Copy with Overlay, uncheck the check box.

5. Click OK.

Clone Document

If one submitted document contains two different document types, clone the document; it will show up twice with different doc codes.

To clone a document:

1. Right-click a document and click Clone.

2. In the Clone Document window, select a Doc Code in the Give the Resulting Document the Document Code field, click OK.

Document Details

Troubleshooters can access document details to view the Package History for a document.

To view document details, right-click a document in the Editor Contents tab and click Document

Details. Administrators have the option to Change Current Status for the Package History.
