About this file
This is a Bidder's Qualification Form issued by the Town of Palm Beach, Florida, for RFP 2026-014 Emergency Food Services. The Town seeks qualified catering firms to provide meals (breakfast, lunch, and dinner) for approximately 250 employees per day across multiple shifts during emergency situations, including post-hurricane disaster response for periods of several days to one or two weeks. The Town may also utilize selected proposer(s) for municipal social events. Proposals must be submitted online through Bonfire, the Town's eProcurement platform, and cannot be withdrawn for 180 days from the proposal opening date. A non-mandatory pre-proposal meeting will be held virtually via Microsoft Teams, with details provided in the solicitation's Events section. Award will be made to the proposer offering best value as determined solely by the Town. The contract term is one year with four one-year renewal options, for a total potential five-year contract period. The Town reserves the right to reject any or all proposals, waive non-material irregularities, re-advertise, and award to one or more vendors.
The Bidder's Qualification Form requires all proposers to provide comprehensive company information, including legal name, address, contact details, and business structure (corporation, partnership, or individual). Vendors must hold a current County and/or Municipal Tax Receipt (Occupational License) in their business location area and disclose any officers, directors, agents, or Town employees with financial interests in the bidding firm. Proposers must also provide the date of incorporation, state of incorporation, authorization date for out-of-state corporations, names and titles of principal officers with election dates, length of time in business, and continuous length of service as a service organization in Florida. The solicitation utilizes FEMA terms and conditions, as the Town will seek reimbursement from FEMA for disaster-related meal services. No specific pricing structure, set-asides, or funding amounts are detailed in this qualification form.
