About this opportunity

The University of Texas at Austin is requesting proposals for direct marketing and membership campaign management services under RFP 721-27004, with proposals due September 24, 2026 at 2:30 p.m. CST via the Bonfire portal. The University may award one or more contracts and will assign work either directly or through competition among awardees based on project needs; the University guarantees no minimum volume, spend, or amount of work.

Respondents must demonstrate at least five years of experience providing comparable services, successful performance on at least three comparable client engagements within the past five years, demonstrated campaign and production capabilities including strategic planning, creative development, audience segmentation, direct mail production, campaign execution, reporting and analytics, and the ability to securely receive, store, transmit, process, and dispose of confidential information.

Scope encompasses membership and donor lifecycle management (acquisition, renewal, reactivation, upgrades, stewardship, and monthly giving), campaign services (strategy, audience development, multichannel outreach, digital marketing, and telefundraising), data and analytics (segmentation, forecasting, attribution, and donor lifetime-value modeling), and production services (printing, personalization, direct mail, fulfillment, and postal optimization). Services will support the Wildflower Center and other authorized University colleges, schools, and units.

Pricing will be structured using campaign-based fees, professional-service rates, pass-through markups, and standardized scenarios. Proposals exceeding five million dollars require Board of Regents approval. Evaluation is weighted: Respondents' Qualifications, Abilities, and Reputation (20%), Quality of Proposed Goods or Services/Methodology and Approach (30%), Ability to Meet University Needs (15%), Price Proposal and Long-Term Cost (20%), and Staffing Resources and Past Business Relationship Strength with the University (15%). Short-listed respondents may be invited to oral presentations.

The pre-proposal conference was held August 28, 2026. Written questions are due August 31, 2026 at 2:30 p.m. CST, with answers posted September 2 by 5:00 p.m. CST.
