About this opportunity
The City of Dania Beach, Florida is soliciting proposals for CCTV Preventative Maintenance, Installation, and Network Cabling Services (RFP 26-001) through its e-Procurement Portal at https://procurement.opengov.com/portal/daniabeachfl, with proposals due by Monday, February 23, 2026 at 10:00 am. The procurement seeks a qualified, licensed contractor to provide comprehensive CCTV system services across nine municipal facilities and parks currently equipped with approximately 195 cameras distributed among City Hall/Parking Garage/Swanson House (90 cameras), Public Services/Water Plant/Southwest Community Center (24 cameras), Dania Beach pier area (23 cameras), Frost Park (12 cameras), CW Thomas Park (13 cameras), IT Parker Center (10 cameras), PJ Meli Park (16 cameras), Mullikin Park (4 cameras), Chester Byrd Park (2 cameras), and Melaleuca Park (1 camera). The scope of work encompasses quarterly preventative maintenance inspections of all CCTV cameras and related field equipment, corrective and emergency repair services with defined response times categorized as Minor (1-3 cameras, 8-hour response and 12-hour resolution), Major (4+ cameras, 5-hour response and 12-hour resolution), and Critical (all cameras at a site, 3-hour response and 8-hour resolution), installation and replacement of cameras with mounting hardware, and CAT6 or fiber network cabling installation and termination. The contractor must maintain 24/7/365 emergency support capabilities, provide quarterly reports documenting all services performed, and warrant all materials and workmanship for a minimum of one year from installation, with all parts being new and holding manufacturer's warranty. The initial contract term is three years with options for two additional one-year renewal periods contingent upon budget approval, and proposals will be evaluated based on firm qualifications and experience (30 points), approach and technical soundness (35 points), price proposal (25 points), and references (10 points). Questions must be submitted by February 16, 2026 at 3:00 pm, and a public bid opening will be conducted on February 23, 2026 at 10:00 am via Microsoft Teams, with all proposals remaining valid for ninety days following the opening.
The City of Dania Beach encourages participation from all segments of the business community, including small businesses, minority-owned and women-owned enterprises, and disadvantaged business enterprises, and maintains a non-discrimination policy in contract administration. AMC Surveillance Camera & Electronics is identified as the incumbent contractor, having held the contract since 2013, with the most recent service renewal approved at an annual cost of $33,660 ($14,160 for preventative maintenance and $19,500 for on-call service calls). Pricing for this procurement is structured as cost-plus markup, with materials and parts reimbursed at actual cost plus a markup not to exceed 15 percent on parts and equipment, rental equipment, and subcontractor services, with the City reserving the right to select all CCTV cameras and complex equipment while the contractor may select miscellaneous installation materials. Insurance requirements include Commercial General Liability with minimum limits of $1,000,000 per occurrence and $2,000,000 policy aggregate, Business Automobile Liability with $1,000,000 combined single limit, Workers' Compensation coverage at statutory limits for Florida, and Contractor's Pollution Liability of $1,000,000 per occurrence with $2,000,000 aggregate, with the City named as additional insured on all applicable policies. The RFP documents do not specify a total contract value or budget range, though the cost proposal form indicates estimated baseline costs of $10,000 for parts and equipment, $5,000 for rental equipment, and $5,000 for subcontractor services to assist vendors in calculating their proposals. Failure to meet response and resolution time requirements more than once within a 30-day period may result in contract termination, and a performance bond may be required upon contract award.
