About this file
This memorandum from the City of Dania Beach Department of Finance documents an internal approval request for continued procurement of surveillance camera preventive maintenance and on-call services. The City of Dania Beach is requesting authorization to renew its contract with AMC Surveillance Camera & Electronics for annual preventive maintenance and contingency service calls. The services encompass equipment maintenance, repairs for malfunctions and weather damage, and technician labor costs. The contract represents a continuation of an existing relationship with the incumbent vendor that has been in place since 2013. No competitive bidding process is being conducted; instead, the City is seeking a waiver of competitive bidding requirements based on the vendor's established performance and the advantages of maintaining a single uniform contractor for citywide surveillance needs.
The total annual cost for services is $33,660, consisting of $14,160 for preventive maintenance and $19,500 for on-call service calls billed on an as-needed basis. Funding is available in the Information Technology Division budget account (507-17-04-516-46-10 - Contractual Services General) for fiscal year 2025. The memorandum, dated October 4, 2024, was approved by the City Manager, Chief Financial Officer, and IS Senior Manager. The City emphasizes that maintaining a single contractor provides streamlined operations, cost efficiency, consistent service, efficient scalability, technology upgrades, and standardized data security protocols compared to managing multiple vendors for surveillance infrastructure.

REQUEST
The IT Division requests approval of the annual quotes for preventive maintenance and on-call services from AMC Surveillance Camera & Electronics.
BACKGROUND
The City has been using AMC services since 2013 for its citywide surveillance camera needs.
