About this opportunity

The City of Austin is requesting bids for aftermarket parts for medium and heavy-duty trucks and equipment on an as-needed basis under IFB 7800 MAS1006, with bids due August 4, 2026 at 2:00 p.m. CT and questions due July 21, 2026 at 2:00 p.m. CT. The contract will be used by Austin Fleet Mobility Services with the option for other City departments to utilize it.

The scope covers indefinite quantities of aftermarket parts with fixed unit pricing for the first 12 calendar months; price adjustments may be requested on anniversary dates, limited to changes in the Producer Price Index for other motor vehicle parts. The City reserves the right to purchase more or less than estimated amounts. Restocking fees are permitted for returned parts. Payment is due within 30 calendar days of invoice receipt or deliverable acceptance, whichever is later.

The contract commences upon execution and continues until all obligations are performed, with the City retaining the option to extend beyond the initial term and to hold over for up to 180 calendar days unless mutually agreed otherwise in writing.

The City applies local and small business discounts of up to 5% for bids up to $500,000 and 3% for bids between $500,000 and $50 million; small business subcontractors representing 5% or more of the total bid value may qualify for additional discounts of 2% to 1% depending on bid size. A local business is defined as any entity with headquarters in the Austin-Round Rock-San Marcos Metropolitan Statistical Area (Bastrop, Caldwell, Hays, Travis, and Williamson counties). No MBE-WBE subcontracting goals apply. Subcontracting is optional but requires prior written City approval; the City determined insufficient subcontracting opportunities and limited certified MBE-WBE firm availability exist for this procurement, though the City encourages use of certified small business subcontractors where feasible.

All contractor employees and subcontractors directly assigned to the contract must be paid a minimum of $22.05 per hour under the City's Living Wage Program. Contractors must maintain workers' compensation and employers' liability ($100,000 per accident, $500,000 by disease), commercial general liability ($500,000 per occurrence), and business automobile or garage liability ($500,000 combined limits). All insurance must be written by carriers authorized in Texas with A.M. Best ratings of B+VII or better. Contractors must certify compliance with the wage theft ordinance and complete wage theft training within 30 days of award.
