About this file

This document is a Contractor's Request for Information (RFI) for a NAF Soundside Club AV Install at Hurlburt Field, Florida, issued by the 1st Special Operations Wing (AFSOC). The solicitation (FA441725QHURL) seeks a comprehensive audiovisual system upgrade involving the removal and replacement of existing equipment across multiple ballrooms and conference spaces. Key requirements include TAA-compliant equipment, wireless microphones, and a portable tablet-controlled system that can manage separate or combined audio/visual functions in the Broadway, Tan Son Nhut, Bagram, and Harman ballrooms.

The RFI provides detailed specifications for the project, including a list of current AV components to be removed (such as 4 mounted video projectors, 4 motorized projection screens, 22 ceiling-mounted speakers, and 6 wireless microphones), and clarifies installation parameters. Contractors are limited to a 6-page technical approach, must utilize existing power sources, and will be responsible for all repairs. The project is classified as a service contract subject to Service Contract Act Wage Determinations for Okaloosa County, FL, with no permits or city licenses required. The government is open to additional performance time and recommends a 60-90 day period of performance to ensure professional installation.

MEMORANDUM FOR RECORD

FROM: 1 SOCONS/PKA

SUBJECT: Contractor’s Request for Information #2 – NAF Soundside Club AV Install Solicitation FA441725QHURL

1. The technical approach states that it is not to exceed six (6) pages in length. May we submit the overall technical proposal more than 6 pages so we can include introductions, technical approach, summary, etc?

A: No. The technical approach shall only be 6 pages. Any pages after 6 will not be read or reviewed by the Government.

2. Is there an available dumpster onsite for the disposal of materials?

A: There is no longer a need for the awardee to dispose of removed materials. Please see the updated SOW for further details.

3. Is there a current divider sensor currently in place? If not, would the customer consider a divider sensor? When the room divider is closed, blocking the beam, the sensor signals the system to treat the divided space as two separate rooms. The system then directs controls for:

Audio/Visual (AV) Equipment: Each area's AV system becomes independent. In a large meeting space, this allows for two separate presentations to occur simultaneously.

A: No this is not currently in our operation. We would consider this option only if that means that speakers work the same way. Understand that we could do two different presentations, but do the speakers work in the same manner. If yes, than we would be interested.

4. During the site visit, it was suggested that the 3 wireless microphone equipment be integrated into the equipment room closet. Can you confirm this?

7. We suggest the period of performance detailed here should be changed to a considerable period of performance to ensure a professional installation. Typically, with a project of this size and the type of equipment & materials need, the POP should be a minimal of 60 or 90 days ARO. The standard ETA of equipment from time of purchase is 30 days.

A: CONCUR with adding additional time; just needs to be coordinated with event space usage.

8. Where the projectors are mounted: Will the customer patch/paint around the projector screen area if needed? (sheetrock/ceiling repair to accommodate the new screens) A: Contractor is responsible for all repairs.

9. Where the projectors are mounted: Please provide the INTERIOR dimensions (L x W x D) of each/every one of the existing screen cases, and close-up pictures of the electrical connections, and pics of the bottoms of the screens and any visible logos/brands/models.
