About this file

This is a General Requirements document issued by Salt Lake County Contracts and Procurement on behalf of the Salt Lake County Sheriff's Office for water cooler rental and delivery services. The County seeks vendors to provide water cooler units, installation, maintenance, replacement, and scheduled bottled water delivery across multiple sheriff's office divisions and locations. Delivery frequency varies by location, ranging from weekly to monthly intervals. A pre-bid conference is scheduled for January 8th at 1:00 p.m., with attendance requested via email to Aaron Stone at AStone@saltlakecounty.gov; bidders not attending do so at their own risk. The resulting contract will have a six-year term effective upon execution. Award will be made to the lowest responsive, responsible bidder based on the grand total shown on the Pricing Schedule, and the contract will be non-exclusive, allowing the County to purchase from other sources at its discretion.

Bidders must submit a completed Pricing Schedule with all-inclusive costs covering shipping, handling, and service charges, with no minimum or maximum purchase quantities guaranteed; the approximate annual contract value is $11,000.00 for information purposes only. Partial bid submissions may render a bid non-responsive. Vendors must provide at least two references from current or recent customers, proof of a current business license, and itemized invoices per division reflecting units and bottles delivered. Prices must be guaranteed for the full contract term; however, the County reserves the right to negotiate price and service elements during the contract period with written amendments required for any financial changes. Bidders must maintain workers' compensation insurance, commercial general liability insurance of at least $1,000,000 per occurrence, and commercial automobile liability insurance of at least $1,000,000 per occurrence, with the County named as an additional insured. All insurance policies must be issued by companies licensed in Utah and rated A- or better by A.M. Best Company.
