The Texas Comptroller of Public Accounts Statewide Procurement Division is requesting bids on toner cartridges and related printer supplies under IFB 304T-26-696-6-M0025, with responses due August 20, 2026 at 1:30 p.m. Central Time. This is a statewide contract available to multiple state agencies and entities; the immediate customer is the Texas Department of Criminal Justice.
The scope comprises ten line items totaling 5,975 units: four Canon toner cartridges (black, cyan, magenta, and yellow high-yield for MF660 and LBP640 series, 400 units each, specified as proprietary requiring exact manufacturer conformance); four Okidata toner cartridges (black, cyan, magenta, and yellow high-yield for B431 and C332dn/MC363dn models, 75–700 units per color, offered as reference brands allowing equivalent alternatives); one Okidata color printer belt (200 units); and one Okidata color printer drum (2,200 units). All products must be new, unused, latest model in current production, and in first-class condition. The contractor must warrant all products for 90 days or the manufacturer's standard warranty, whichever is longer, with defective items replaced within two weeks of written notice at no cost.
Delivery is FOB Destination to Huntsville, Texas 77340 with all delivery costs included in pricing and no additional shipping or handling charges permitted. Respondents must specify delivery timeframes in calendar days after receipt of order. Delivery to TDCJ facilities requires compliance with TDCJ security procedures, including security escorts within correctional facilities, vehicle searches, contraband restrictions, and appropriate attire. Pricing must remain firm for 120 days after the due date. The contract term commences on the Notice of Award date and automatically expires August 31, 2026, or upon final delivery and acceptance, whichever occurs first. Questions are due August 7, 2026, with responses provided by August 11. Electronic submission is preferred to SPD.ebids@cpa.texas.gov; hard copy submission is accepted at the CPA mailroom in Austin.
