About this opportunity

Salt Lake County Contracts and Procurement, on behalf of Salt Lake County Sheriff's Office, is requesting proposals for quarterly preventative maintenance and as-needed repair services for exercise equipment at the Adult Detention Center and Sheriff's Office Administration Building, with proposals due October 29, 2026.

Bidders must demonstrate a minimum of three years of professional experience servicing and repairing at least 15 of approximately 25 specified exercise equipment brands (including Life Fitness, Cybex, Hammer Strength, Precor, and Star Trac) and maintain a service facility within 60 miles of Salt Lake County. All personnel requiring jail facility access must complete and obtain approval for Security Access Applications prior to work commencement. Vendors must certify compliance with federal, state, and local environmental laws and provide written non-debarment certification; subcontractors must provide similar certifications. Valid professional and business licenses in good standing for at least two years prior to bid submission are required. Bidders must submit a minimum of three commercial references with at least three years of documented service history; the County reserves the right to verify past performance and may consider previous contractual relationships, positive or negative, as part of the evaluation.

Preventative maintenance visits occur quarterly (approximately every 90 days) during 8:00 a.m. to 5:00 p.m., Monday through Friday, excluding holidays, unless otherwise requested. Tasks include cleaning, lubricating chains and guide rods, checking electronic error code logs, verifying calibration, inspecting belt tension and resistance settings, examining cables and guide rods for wear, and inspecting upholstery, selector pins, and fasteners. Repairs requested outside the regular schedule must be accommodated within five business days. Preventative maintenance is not required during the warranty period of newly replaced equipment unless the warranty specifically requires it.

Repair work is compensated on an hourly rate plus OEM parts at published catalog list prices less the contracted discount. All parts must be new OEM products; non-OEM or used parts require prior written approval. If repair costs approach or exceed equipment replacement costs, the contractor must cease work and notify management immediately. Pricing must include all delivery charges and be FOB Destination, Freight Pre-Paid; travel time, mileage, and reimbursements are incorporated into all-inclusive contract pricing. The estimated annual cost is $4,000. Pricing is guaranteed for 24 months, with price escalation requests limited to a maximum of 3 percent annually and requiring submission at least 60 days prior to renewal periods.

The contract has a six-year term beginning upon execution, with the County reserving the right to review performance and cost regularly and potentially negotiate price and service elements during the contract period. Award will be made to the lowest responsive, responsible bidder based on the Grand Total of the pricing schedule, subject to Salt Lake County's preference system and terms and conditions.
