About this opportunity
Miami Dade College is seeking qualified Events Ticketing and Management Services firms through Request for Proposal (RFP) #2024-RM1-21 to support marketing efforts, ticket sales, and event support services across multiple college venues including the Miami Film Festival, Miami Book Fair, Live Arts Miami, Koubek Center, and Museum of Art and Design. The procurement aims to prequalify one or several service providers for a contract period running from approximately August 1, 2024, to June 30, 2025, with potential renewal for four additional one-year terms. Key deliverables include comprehensive online ticketing integration, hardware and staffing support, transaction management, and reporting capabilities for events that collectively process over 121,000 annual transactions. Prospective vendors must demonstrate ability to integrate with the college's Salesforce CRM API, provide low direct-to-consumer service fees, and handle various transaction types including ticket sales, memberships, merchandise, and donations. The original proposal response deadline of June 18, 2024, at 3:00 P.M. EST was extended to July 10, 2024, at 3:00 P.M. through the BidNet Direct platform, with performance evaluations due by July 11, 2024, at 5:00 P.M.
The RFP does not explicitly indicate specific set-aside designations or restrictions for disadvantaged enterprises. Event transaction volumes suggest significant operational complexity, with Live Arts Miami processing 74,000 transactions annually, Miami Book Fair handling 32,000, and Miami Film Festival managing 15,000 transactions. While no incumbent vendors are directly named, the college requires vendors to integrate with existing Salesforce CRM systems and demonstrate flexibility across diverse cultural and educational events. Historical financial data from attachments indicates potential annual event revenues ranging from $40,000 to $250,000 across various venues, suggesting a substantial potential contract value. The college's existing infrastructure includes sophisticated ticketing systems with tiered pricing strategies, multiple admission types, and comprehensive financial tracking mechanisms across events like the Miami Book Fair, Museum of Art and Design, and Koubek Center, which will require seamless technological integration by the selected ticketing and management services provider.
