About this opportunity
The U.S. Embassy in Mexico City is soliciting quotations (RFQ 19MX5326Q0025) from professional event production companies to design, build, equip, staff, and manage a booth space at the Aldea Global 2026 trade show in Mexico City. The contract will be awarded on a firm fixed-price basis to the responsible offeror submitting a technically acceptable proposal at the lowest price, potentially without discussions. Key requirements include designing an 18-meter by 4-meter booth divided into an 11-meter Agricultural Trade Office section and a 7-meter Public Diplomacy section, establishing a cooking demonstration station with specialized equipment, providing audiovisual and photography services, staffing the booth with qualified personnel across two daily shifts, and delivering comprehensive event management throughout the 12-day performance period. Evaluation criteria focus on lowest price among technically acceptable proposals, demonstrated experience on at least two comparable projects, qualified staffing plans, compliance with State Department branding guidelines incorporating Freedom 250 branding and approximately 60 partner logos, and submission of a comprehensive safety plan. Quotations must be submitted electronically to MexicoCityGSOSolicitations@groups.state.gov by 10:00 a.m. Mexico City local time on Wednesday, April 29, 2026, with questions due by April 17, 2026, and a pre-proposal conference held on April 13, 2026.
This is not a set-aside contract, and no incumbent contractor or specific budget range is identified in the solicitation materials. The contract performance period begins upon award for planning and coordination activities, with on-site execution occurring from June 10 through June 21, 2026, representing 12 consecutive days of event operations. All offerors must be registered in the System for Award Management (SAM) at the time of proposal submission and must submit Standard Form 18, vendor registration forms for electronic funds transfer, proof of active SAM registration, and a safety management plan addressing U.S. Army Corps of Engineers standards or Mexican industrial safety requirements, whichever is more restrictive. The place of performance is located in Colonia Irrigación, Mexico City, CDMX, Mexico, within the Aldea Global 2026 exhibition venue in Chapultepec Forest. Quotations may be submitted in either U.S. dollars or Mexican pesos depending on the contractor's entity type, and all proposals and supporting documentation must be provided in English.
