NON APPRORIATED FUND POSITION DESCRIPTION
Job Title: GOLF COURSE ASSISTANT MANAGER JOB CODE: 030149
Job Series: 1101 EXEMPT GRADE: NF-3
Summary of Duties:
Responsible for assisting the Golf Course Manager in the operation and management of the Medal of Honor Golf Course. Responsible for the management of the Pro Shop, including supervision of the cashiers. Trains cashiers in use of the Recr Trac point of sale, trains cashiers on policies and procedures in greeting and instructing patrons who come in to the shop on current golf conditions, driving range use, cart rental, golf programs, tee time procedures etc.
Provides guidance and supervision on cash handling procedures, ensures that deposits are verified and turned into the cash cage. Provides input in preparation of the budget for the retail operation. Prepares for inventories, cost controls and maintains all resale related records. Prices merchandise in line with policy, conduct inventories, counts and display merchandise in an attractive manner. Keeps complete records of retail purchases and submits receiving documentation to accounting. Reviews the financial status of the assigned activity and recommends changes considered necessary for a profitable operation.
Supervises Pro Shop employees and assists in the supervision of other golf course employees to include: assigning and distributing work, verifying time records, coaching, counseling, training, and mentoring employees. Provides input to the Manager on performance appraisals, rewards, and disciplinary action for subordinate employees. In the absence of the manager and may directly supervise and manage the golf employees and golf course operation to include the labor crew, starter marshals. Provides input to the manager on issues that have occurred in his absence.
Maintains and enforces security for funds, merchandise, supplies and equipment to preclude or minimize the potential for fraud, waste, and abuse. Responsible for the cleanliness of Pro Shop.
Submits work request to Base Maintenance as needed.
Plans and selects merchandise for the Retail Pro Shop. Meets with vendors to select merchandise, orders merchandise via Blanket Purchase agreements or Purchase orders. Submits paperwork yearly for BPA’s that need renewal. Manages the inventory level of each class of merchandise using inventory records, customer demand and inventory turnover. Inspects merchandise daily. Displays merchandise in attractive manner, closely monitors and rotates merchandise. Determines items to be marked down, plans seasonal sales. Sets up sales events such as Demo Days, sidewalk sales etc.
Keeps abreast of market trends, and new products through attendance at merchandise shows, or through vendor contact and catalog research. Ensures the availability of products that meet the needs of the patrons. Keeps abreast of price comparison to ensure pricing structure is competitive and within MCCS guidelines.
Ensure proper receipt of merchandise, prepares 563’s, enters merchandise into the Point of Sale, and prints price labels. Maintains records of merchandise purchased, receipt of merchandise.
Enters merchandise in the Rec Trac system. Submits receiving reports and invoices to the accounting department. Works with accounting staff to verify and correct any discrepancies in billing.
Meets with patrons to place special orders. Ensure detailed specifications are verified by customer before placement with vendors. Follows special orders and keeps patrons abreast of when their order is received and available for pick up.
Responsible for spot checks on inventories, quarterly inventory, year-end inventory. Researches discrepancies between machine and physical inventory counts to determine accuracy of inventory. Assists inventory team in re-counts, and identifying merchandise that was missed.
Prepares all necessary monthly and yearly reports as needed. Submits monthly reports to accounting.
Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.
Minimum Qualifications:
Must possess three years’ experience that demonstrates professional knowledge of golf retail operations and knowledge of the golf industry. Knowledge of cash handling procedures. Must be able to show ability to communicate effectively both orally and in writing. Skill or demonstrated experience in supervision of employees is preferred. Experience as a buyer of golf merchandise is preferred.

SUMMARY OF DUTIES:
Responsible for the operation and maintenance of a golf course encompassing at least 18-holes, fairways, greens and practice course or driving range. Responsible to provide qualified instruction, technical advice, equipment and retail items. Ensures an aggressive recreational golf program is available for authorized patrons. Schedules and conducts tournaments and special events. Instructs member golfers, operates a pro shop and golf cart rental. May manage an eating facility, and oversee environmental management of golf course greens.
Plan, organizes work, and manages internal procedures and resources to ensure maximum productivity and economies. Prepares internal office financial plans and related records and reports, and exercises authority on approved budget. Monitors programs on a regular basis, and initiates corrective action to ensure support of operating programs of MCCS. Manages new property resources and may provide direction on facility renovations and improvements.
Develops long range plans in conjunction with internal operating directives, and exercises internal personnel management authorities as delegated by the higher-level supervisor with regard to subordinate supervisors and employees in the office. Directly or indirectly through subordinate supervisors supervises employees. Counsels and trains employees, schedules and directs work, appraises work performance. Approves or disapproves leave, and personnel actions. Must be alert to substance abuse and take appropriate action. Effectively supports the Marine Corps Equal Employment Opportunity and Sexual Harassment policies, and ensures compliance with fire, safety, and other environmental issues and programs. Maintains and enforces security of funds, merchandise, supplies and equipment to preclude or minimize the potential for fraud, waste and abuse.

MINIMUM QUALIFICATIONS:
Must possess professional knowledge of golf operations and maintenance to include four years experience. Experience in design and maintenance of a golf course. Active “Class A” member of the Professional Golfer’s Association of America is preferred. Ability to supervise employees. Ability to communicate effectively, orally and in writing. Ability to manage a retail pro shop. Knowledge of pertinent safety, occupational health, and environmental regulations, to include matters relating to chemicals, spray, and other agents. Knowledge of NAF policies and procedures preferred. This is a white-collar position where occasional lifting up to 20 lbs may be required.
