1 INTRODUCTION

SUASMAN is a CAC accessed web application designed to manage Small Unmanned Aircraft Systems (SUAS) inventory, operator flight logs, class registration, range scheduling and training.

1.1 SUASMAN OPERATIONAL DATA FLOW

1. Configuration Manager creates a configuration based upon the packing list of the SUAS order; Note:

NSN(s) should be included with this packing list. The Configuration Manager then creates a configuration status summary template which determines the systems’ status; e.g. if a Fully Mission Capable (FMC) system requires 3 fuselages then any system that does not have 3 operational fuselages will be considered either Partially Mission Capable (PMC) or Non Mission Capable (NMC) based upon the numbers entered within the configuration status summary template; see grid below:

2. Life Cycle Sustainment Manager (LCSM) enters new unmanned systems (Logistics).

a. Unit Logistics maintains/updates readiness of systems. When parts are damaged or lost, Unit Logistics informs the servicing unit, command, or vendor of parts that need to be replaced as operational status is changed within the inventory. Any parts that need repair are sent to the servicing entity using SUASMAN System Transfer found within the Logistics module, where transfer and shipping documents are printed.

3. SUAS-Os select a system when logging flights within the Operations | Log a Flight page (Currency).

a. SUASMAN automatically compiles metrics for each system and flight hours for monthly reports.

b. As SUAS-Os log flights, they have the opportunity to select the type of flight which automatically updates currency and proficiency within their training profiles.

4. SUAS-Os record completion of training within the Training module (Proficiency).

5. The Unit Training Manager (UTM) approves training (Training).

6. The Formal Training Unit (FTU) Registrar creates SUAS classes in the FTU module.

7. The UTM assigns slots to candidates (Class Management).

8. Upon successful completion of class training, SUASMAN updates SUAS-O’s currency and proficiency.

1.2 OPERATIONAL SUMMARY

SUAS Logisticians or LCSMs will utilize the Logistics │Inventory Management and Logistics │System Transfer pages in the Logistics module of SUASMAN to manage Unit SUAS assets.

SUAS Administrators and SUAS Training Managers will utilize the administrative and training areas to manage SUAS-O’s training and proficiency.

As SUAS-Os log flights they will choose the serial numbers of the system flown, along with its system components; e.g., GCS, EO Camera, etc. SUASMAN uses this information to generate metrics for each SUAS (see Operations).

In order for the SUAS-O to have the ability to choose a serial number of a system the unit LCSMs must have all systems properly loaded within SUASMAN (see Logistics).

In the event a SUAS-O is unable to locate the serial number of the system, the individual can select a SUAS GHOST system (virtual system) of the type flown. The SUAS-O will then record the details of the system flown, e.g., its serial number, in the remarks area of the flight log.

When a SUAS-O completes training and records the training within the Training Status area of the Training module, SUASMAN places an approval request in the training approval queue. Once the UTM approves the recorded training SUASMAN calculates the SUAS-O’s currency and proficiency (see Training).

Unit Administrators and UTMs are able to view and print training status reports for their SUAS-Os within the Training Status page.

1.3 FUNCTIONALITY

SUASMAN can be broken into five high level areas: Logistics, Currency, Proficiency, Training, and Class Management.

1.3.1 LOGISTICS

1. Create a configuration for the SUAS using a packing list; this creates a virtual template of part types.

Configurations are named using the funding command and the system part number; e.g., SOCOM – 54429-008.

2. Using the newly created configuration, create individual systems with identifying serial numbers.

3. Using the newly created systems, add serial numbers to the serialized parts used; this will determine system status.

4. Using the configuration, create a configuration status template to record quantities. This will determine if a system is fully mission capable (FMC), partially mission capable (PMC), or non-mission capable (NMC).

5. Commanders can view current SUAS status (FMC, PMC, NMC), including detailed information about specific system parts via the Operations | Systems page.

NOTE: As of the date of this document, SUASMAN supports data for the following UAVs:

1.3.2 TRAINING

SUAS UTMs create training events that contain requirements for currency and proficiency (see Edit Events).

UTMs will approve or deny SUAS-O recorded training. For example, if a SUAS-O requests flight currency approval the UTM will review the individual’s flight log for accuracy. SUASMAN updates SUAS-O currency and proficiency as training is approved by UTM.

1.3.3 CURRENCY AND PROFICIENCY

As SUAS-O records training and training is approved by UTM, SUASMAN updates SUAS-O status based upon the criteria established against each training event within SUASMAN.

1.3.4 CLASS MANAGEMENT

The Formal Training Unit (FTU) Registrar creates SUAS classes within the FTU Schedule page. The UTMs assign individuals to a class within the FTU Schedule page. The newly assigned student receives an email explaining they have been enrolled in the class and they must register in SUASMAN prior to arriving to the school. Additionally, they are informed to go to the FTU | Schools menu for course syllabus, directions to the school house and local information pertinent to their stay. The FTU Registrar is able to manage the class schedule using the FTU Schedule page.

1.4 SUASMAN PROGRAM CAC LOGIN

The SUASMAN website is located at https://webapps.hurlburt.af.mil/SuasMgr.

The user will be prompted to choose a Digital Certificate from their Common Access Card (CAC). It is highly recommended that the user select the EMAIL certificate (Figure 1). Then the user must enter their Personal Identification Number, or PIN, (Figure 2).

1.5 SUASMAN PROGRAM REGISTRATION

First time users will need to register with SUASMAN to gain access.

Select the Access Request link on the registration page (Figure 3) to begin the registration process. The user will be redirected to the registration screen (Figure 4).

There is an instruction panel (Figure 5) which describes all of the required information needed to register for an account.

Fill in all information on the registration page ensuring accurate email information. (Figure 6)

The user must also enter a Username/Password combination (Figure 7). This will only be used in the rare instance when a user has to access SUASMAN without the capability to log in with a CAC.

The user will receive an email once the access request has been reviewed (either Approved or Denied). If the user’s request for access was approved, the user will be assigned roles which will allow basic access to the application. Based on individual need, the user may contact their Unit Administrator to assign job specific roles to the user’s account.

2 HOME

The SUASMAN home page provides a quick reference as to the status of overall currency, assigned read items, and links to important resources within SUASMAN.

2.1 SUASMAN WELCOME SCREEN

The welcome screen (Figure 8) provides a link to the summary of changes document, requests that operators ensure their personal information is accurate, informs the user when the password will expire, informs the operator an overall currency button which takes the operator directly to the training status page, any system messages a user must read, for certain roles the number of access requests, the total hits the website has accrued and a breakdown of the users by service.

2.2 SUMMARY OF CHANGES

Beneath the Version Number displayed that the top of the welcome screen, there is a link to a “Summary of Changes” which opens a document briefly describing recent updates to the application.

2.3 OPERATOR CURRENCY

A button titled “Operator Currency” is displayed in the center of the welcome screen. This button, when selected, takes the user to Training | Training Status. The color of the Operator Currency button indicates the status of the user’s overall currency. Red = noncurrent, Yellow = renewal training is pending, and Green = current. See Training | Training Status for a more detailed explanation.

2.4 IE 8.0 COMPATIBILITY ISSUE

This link redirects the user to an announcement regarding a known compatibility issue between the SUASMAN web application and Internet Explorer 8.0.

2.5 SUASMAN ACCESS REQUESTS

The box at the bottom of the SUASMAN Welcome Screen (Figure 8) indicates whether or not there are any pending access requests. Clicking on the number in the box will redirect the user to the User Management screen. See Admin | User Management for further explanation. NOTE: The SUASMAN Access Requests box is displayed for SUAS Administrators only.

2.6 UAS CURRENCY AT A GLANCE

In the top left corner of the home page is a panel entitled “UAS Currency at a Glance” (Figure 13). This section gives a brief overview of the user’s Qualification and Currency for each System which he has roles. If the user has other Training Events assigned that are not related to a specific system, these will appear as “Records Review” or similar category description. The status of a user’s currency is color coded in such a way so that the individual can know “at a glance” what their currency status is. Green indicates “Current”. Yellow indicates the status of an item will change within the next thirty days. Red indicates either Non-Current, or Unqualified. Read the section on Training | Training Status to learn more about the detailed status of a user’s currency.

2.7 ASSIGNED READ ITEMS

The Assigned SUASMAN Read Items list (Figure 15) displays all current read items assigned to the user.

A yellow flag (suggested) or red flag (mandatory) will be displayed next to the item until the training has been submitted for approval. Once approved, a green checkmark will be displayed next to the item. Read Items do not affect currency, but the user’s FCIF (Flight Crew Information File) Status is visible on the Training | Training Status screen. A label at the top of that screen will indicate “Read Items Not Current” in red, or “Read Items Current” in green.

2.8 ARMY OPERATOR LINKS

Army Operators (who are not affiliated with SOCOM or USAREUR) will see a special panel of buttons designed to give them quick access to the areas of functionality related to flight logging and training.

These buttons operate the same as the menu links Log a Flight, Flight Logs, Training Status, Training Record, and My Account.

3 OPERATIONS

3.1 LOG A FLIGHT

The Log a Flight page enables users to record the details of their flights. The information from the flight log is used to determine an individual’s currency. Additionally, when users report damage, the LCSM is notified of the damage via email, thus enabling the LCSM to transfer operational parts to maintain the system’s FMC status. Similarly, when users report COA issues, an email is generated and sent to the COA Manager. Once a flight log entry is saved it can be edited via the Flight Log page.

3.1.1 SECTION ONE – FILL IN LOCATION INFORMATION

The “Location” drop down list (Figure 16) is populated with training locations from which to choose. If the user selects “Other”, a new text box will be displayed to allow entry of a location that does not exist in the drop down list. The time zone field will be filtered to the selected location plus GMT. Select the time zone of the flight.

3.1.2 SECTION TWO – FILL IN AIRSPACE/COA

When flying under a Certificate of Authorization (COA) ensure you select the correct COA. If airspace/COA issues occur during the mission, select the appropriate COA location (Figure 17) from the drop down list; select applicable issue(s): Spill out(s), Loss Link(s), Deviations from ATC Instructions, or Unusual Equipment Malfunction(s). In the Accidents/Incidents block list number of occurrences. Select a location from the drop down list in the “Occurred in” block. Provide adequate details in the COA Comments block. Selecting “Other” as the COA”, and/or indicating the mission had COA issues, will send an email to SUASMAN COA Managers.

3.1.3 SECTION THREE – FILL IN VEHICLE INFORMATION

In the Vehicle Information Section (Figure 18), the “System Type” drop down list will display the vehicles for which the currently logged in user has Operator permissions. The system group can be filtered by unit by selecting the owning unit from the “Filter Vehicle by Unit” drop down list. Note: To view all available systems, do not select a unit; instead, select the serial number of the system flown from the “Vehicle” drop down list.

Note: If more than one vehicle was used, a separate flight log will need to be generated for each system.

Note: Army Operators will only see the System Type box.

Note: If “Scan Eagle” system type is selected new sections will be added to flight log.

3.1.4 SECTION FOUR – FILL IN DATE/TIME INFORMATION

When filling out Date/Time information (Figure 19), a pop up calendar will appear when the cursor enters one of the date text boxes for “Begin Msn Date” and “End Msn Date”. (Note: Users cannot log flights in advance; if the calendar date is ahead of the current date the user will receive an error message.) All time is entered in 24-hr format in Zulu Time. When user enters the Begin and End Times, SUASMAN automatically calculates the Total Time in tenths. For example, if the flight duration is 45 minutes, the calculated time will be 0.8 hrs. SUASMAN rounds to the next six minute interval. As the times or dates are changed SUASMAN will refresh to recalculate the duration.

3.1.5 SECTION FIVE – FILL IN MISSION TYPE

The list of Mission Types (Figure 20) allows the user to select more than one mission type. Note: When the user selects “Simulator”, the weather, lighting and landing information is not required. If a user selects “Student” for the Mission Type, any hours logged will not count toward currency. The user’s flight hours will increase on the Flight Log page, but the number “accomplished” will not be added to the user’s Training Status (even if the user associates a training event with the mission).

3.1.6 SECTION SIX – SELECT ASSOCIATED TRAINING EVENT

To ensure the flight/mission counts towards currency, the user must select a Training Event (Figure 21).

The list will display all associated training events for the selected system type. (i.e.: If a user selects a Raven B system, this list will filter to only Raven B associated Training Events.) NOTE: Selecting Initial Qualification or Periodic Qualification training events will require an instructor or evaluator be selected in Section 11. See the Training | Training Status page for more information on this section.

3.1.7 SECTION SEVEN – SYSTEM LOAD OUT (NON SCAN EAGLE)

Once a vehicle is selected (Figure 18), the radio and payload drop down lists (Figure 22) will be loaded with all possible serials for those component types. If a component is available, a selection must be made. Components that can be selected are in the list: RF Unit, Hub, Controller, Laptop, and RVT.

Select the channel used during this mission in the Channel drop down list. The camera drop down list is multiple select, and as many cameras as were used should be selected. The GPS Keyed is defaulted to “No”. Select “Yes” if GPS Keyed is used.

Note: Army Operators will not see this section.

3.1.8 SECTION SEVEN – SYSTEM LOAD OUT (SCAN EAGLE)

Once a vehicle is selected (Figure 18), the system load out drop down lists (Figure 22) will be loaded with all possible serials for those component types. The camera drop down list is multiple select, and as many cameras as were used should be selected. Note: Army Operators will not see this section.

3.1.9 FLIGHT METRICS (SCAN EAGLE ONLY)

Upon selection of the Scan Eagle system type the Flight Metrics section will be displayed. Power off time is a time field and must be entered in military time.

3.1.10 SECTION EIGHT – FILL IN LIGHTING

Select the Lighting (Figure 23), either Night or Day.

3.1.11 SECTION NINE – FILL IN LANDING INFORMATION

In the Landing block (Figure 24), select one or more of the following landing possibilities: Salt Water, Fresh Water, Runway, Gravel | Sand, or Field.

Note: Army Operators will not see the landing selections.

3.1.1 SECTION NINE – ENVIRONMENTAL INFORMATION

From the drop down list in the Weather block, select one of eight weather choices that best describes the weather during the mission. The choices are Clear, Cloudy, Fog, Haze, Overcast, Partly Cloudy, Rain, and Snow. The temperature must be entered in Fahrenheit (SUASMAN automatically calculates the degrees Celsius). The allowed temperature range is -20 F to 130 F. Hovering the mouse over the Temp

(F) text box initiates a tool tip that will display the temperature range limits. Wind Speed (kts) must be entered in knots and is limited to whole integers from 0 to 30. Wind Dir (direction) must be entered in degrees and is limited to whole integers from 1 to 360.

3.1.2 SECTION TEN – FILL IN MISSION DESCRIPTION

Mission Description (Figure 25) is a block for comments about the mission and is mandatory. If the flight was uneventful, simply state “Good flight”. Otherwise, describe the flight with as much detail as possible.

If a Ghost system is selected because the serial number of the flown system was not in the system drop down list, please state this in the Comments block along with the serial number of the fuselage flown, the GCS numbers and other pertinent system information.

3.1.3 SECTION ELEVEN – LOG OPERATOR/ INSTRUCTOR/ EVALUATOR TIME

In order for crew members to get flight hours and currency credit, each individual must be associated with the mission (Figure 26). Select an Operator from the drop down list and the position he held. (All positions are listed.) Enter the number of hours the operator was in the position. If an instructor or evaluator (Master Trainer for Army missions) participated in the flight, select those individuals so they will also receive credit for hours flown. Once an individual’s information is filled in, click the “Add” button. Repeat these steps for each position. Note: The total hours from each position must not exceed the total mission hours. Also, if the user selects Initial Qualification or Periodic Qualification as the associated training events in section 6, an instructor or evaluator will be required.

3.1.4 SECTION TWELVE – FILL IN DAMAGE REPORT

Tracking damage to systems (Figure 27) is an important part of filling out a flight log. The “Component” drop down list provides a list of all part types (components) associated with the selected system type. If any damage occurred during the mission, select the part type from the drop down. Next, select the condition of the part from the drop down list in the Condition block. Provide a description of the damage in the Damage Description block. When finished entering damage, click the “Add” button. If it is necessary to remove items, select the checkbox next to a component in the grid, and click “Remove”.

3.1.5 TOOLBAR BUTTONS

Select the “View Flight Logs” button (bottom of Figure 27) to access the Flight Log page. When the Save button is selected, SUASMAN records the mission log and assigns a unique Mission number which is then displayed next to each log entry on the Flight Log page. The Clear button empties all fields of information within the flight log. The Close button returns the user to the SUASMAN Home Page.

3.1.6 ERRORS LOGGING A FLIGHT

Missing or incorrectly entered data will appear as an error and be displayed in red (Figure 28). Note:

Errors must be corrected or the mission will not be recorded.

3.2 FLIGHT LOG

The Flight Log page displays the recorded flight logs of the current user. UTMs/Master Trainers and Unit administrators have access to view the flight logs of personnel assigned to their unit. The image below (Figure 29) is the top left of the Flight Log screen. From this section, a user can filter the list of flight logs by unit, operators (including Inactive Users), mission types, instructor/evaluator logs, and/or specified text.

3.2.1 DELETE COMMENTS

The reason for deleting a mission log must be entered in the Deletion Comments text box (Figure 29).

When the user selects the Delete link next to the selected mission log and does not provide a reason in the Deletion Comments text box the mission log will not be deleted. Note: When deleting several mission logs, a suggestion would be to copy the message, paste and modify for each record deleted.

3.2.2 UNIT

Only Unit Administrators and UTMs can view the Unit drop down list (Figure 29). The user can select a specific unit to filter the name list. Note: The name list will only contain those users within that unit.

3.2.3 NAME

When a name is selected from the drop down list (Figure 29), SUASMAN will display all flight records within the database for that user. However, only the owner of a flight log, or their training manager, will have edit and delete capability. For all others, the edit and delete links are invisible.

3.2.4 SELECT ALL

The Select All button (Figure 29) is used to select/deselect all of the listed mission logs for printing. When the Select All button is pressed, the check boxes next to each mission log will be selected or deselected.

3.2.5 PRINT CHECKED FLIGHT LOGS

The Print Checked Flight Logs button (Figure 29) opens Acrobat Reader and displays a *.pdf file of the selected flight logs according to the account user’s branch of service. The operator can select multiple logs to print by checking the boxes next to each mission log (Figure 33). Currently, service-specific flight log reports are only available for Air Force (Figure 30) and Army (Figure 31). Navy is to be added in a near future release.

3.2.6 PRINT FLIGHT TRAINING LOG

The Print Flight Training Log button (Figure 29) opens Acrobat Reader and displays a *.pdf file of every flight the user has logged (Figure 41). The file will contain the date, training location, vehicle type, length of mission, type of mission, camera used, instructor, and evaluator. See Item 4.1.2 – Print Individual Training Flight Log in the Training section for an example log.

3.2.7 SHOW ALL LOGS

When the operator selects this checkbox (Figure 29), the page will show all logs including instructor/evaluator logs.

3.2.8 SHOW INST AND/OR EVAL LOGS ONLY

When the operator selects this checkbox (Figure 29), the page will only show instructor/evaluator logs.

3.2.9 FILTER OPTIONS

The flight logs can be filtered (Figure 29) by two criteria: Mission Type and Comments/Remarks text. To filter the mission logs by certain mission types available to by the operator, select the checkbox next to the mission type name and click the Apply button. The flight logs list will be limited to only the selected mission types. If no mission types are selected (the default state of the page), all flight logs are displayed.

The second option is to search for text found in specific fields presented for each flight log. Currently, filter text is applied to the fields Mission Comments, Damage Report Remarks, Training Event Name and Training Event Description. To filter the flight logs by text, enter a string of characters into the Filter Text field (e.g., “good flight”) and click the Apply button. The flight logs will be limited to only those logs which contain the entered text.

The two criteria options can be used at the same time.

3.2.10 SYSTEM TYPE SUMMARY OF FLIGHT HOURS

The System Type Summary of Flight Hours table (Figure 32) is located in the top right corner of the Flight Log page, and contains the Duty Time, Simulation Time (Sim) and Total Time that the selected individual has flown in each duty position (including Instructor and Evaluator time) categorized by the system type flown.

3.2.11 TOTAL FLIGHT HOURS

The Total Flight Hours table (Figure 32) contains the cumulative flight hours the selected individual has flown in each duty position (including Instructor and Evaluator time) for all system types. This table is also categorized by Duty Time, Simulation Time (Sim) and Total Time.

3.2.12 RECORDS PER PAGE

The list of flight logs at the bottom of the Flight Log screen (Figure 33), it displays all available flight logs for the selected individual. However, this list can be limited to a subset of logs by indicating a smaller number of records to display per page. If there are more than 5 logs available for an operator, the Records Per Page drop down list will be active. The values available in the Records Per Page drop down list are All, 5, 10, 25, 50, and 100. Select the desired number of records to display on each page and the page will refresh with only that number of items displayed. Use the First, Previous, Next, or Last links, or the Page number drop down list to navigate to other pages of flight logs.

The First link, if active, will navigate to the first available page. The Previous link, if active, will navigate back one page. The Next link, if active, will navigate forward one page. The Last link, if active, will

AFSOC-A3OUS Page 27 of 83 navigate to the last available page. The First and Previous links are only active if the Flight Log page is not on the first page. The Next and Last links are only active if the Flight Log is not on the last page.

The Page drop down list can be used to select the display of a specific page. To navigate to a specific page, select the page from the drop down list and the page will refresh with the flight logs for that page.

The Page drop down list is only active if the Records Per Page drop down list is a value other than All.

The drop down list will only contain page numbers for the range of pages based on the number in the Records Per Page drop down list (e.g., if there are 42 total logs available and the number in Records Per Page is 10, the Page drop down list will contain 1, 2, 3, 4, and 5).

The two criteria options can be used at the same time.

3.2.13 EDIT

Select the Edit link (Figure 33 in green) to the left of a logged mission to edit the mission. (Note: Only one mission can be edited or deleted at a time.) When the operator selects Edit, the user is redirected to the Log A Flight screen with the mission loaded and ready for editing. The operator can edit information within the flight log and select the Save button to update the mission. (See Operations | Log a Flight section for more information.)

3.2.14 DELETE

Select the delete link (Figure 33 in red) to the left of a logged mission to delete the mission. (Note: Only one mission log can be deleted at a time and a reason must be entered at the top of the page for each deletion.) When the Delete link is selected, SUASMAN will look for a reason in the Deletion Comments area. If a reason has not been entered the record is not deleted. If a reason has been entered, the mission log is then “flagged” for deletion, but is not physically deleted from the database. An email is generated and sent to the Unit Administrator and UTM notifying them that a mission log has been deleted by the user. Deleted mission logs can be viewed by the Unit Administrator or UTM under the Admin | View Deleted Logs for the next 30 days before they will be physically deleted from the database. (See the Admin | View Deleted Logs section for more details about recovering deleted mission logs.)

3.2.15 MISSION NUMBER

Denotes the number assigned to the individual mission (Figure 33).

3.2.16 LOG ENTRY

The Log Entry (Figure 33) is a summary of each mission logged. It will display information on the mission type, system information, environment information, and also give a flight summary which displays each crew member associated with the mission, crew position, duty time, instructor, evaluator, and a damage report.

3.3 EMAIL SUAS PERSONNEL

SUASMAN has a feature which allows users to email individuals from within the application (Figure 34). If desired, the user can use the dropdown lists at the top of the page to filter the list of personnel by Unit and/or Role. The Unit dropdown list defaults to the current user’s unit. (Click the checkbox beneath to “Include Sub-Unit Personnel”.) First, select specific individuals by checking the box next to their name, or click the Select All button to select all of users listed. The Clear All button clears all selections. Then, enter a Subject and Message in the appropriate places, choose whether or not to Carbon Copy the Sender, and select the Send button when finished. Note: If you have selected a large number of users it may take time for the application to compile the email. Also, if a user’s email address is invalid, or the user has an “Out of Office” notification set, you may receive emails regarding such. Therefore, it is the responsibility of every SUASMAN user to ensure their information is correct under Admin | My Account. (If an Administrator is “Impersonating” a user, he cannot send email.)

3.4 SYSTEMS

The SUASMAN Systems page displays all systems and their corresponding mission readiness. The display list is limited to the systems the current user has access to view and can be filtered (Figure 35) by System Type, System Status, and Funding Source. When a unit is selected within the SUAS Community tree, the display is filtered to show only those systems assigned to that unit.

The System Type/Number, Rev, and Unit columns (Figure 36) can be sorted by selecting the column header. Users can receive more information about the system status by holding the cursor over an individual System block; this will initialize a tool tip message that will pop up with further details. The pop up displays specific items that the system status configuration has determined to be missing; e.g. the subsystem acronym and part type, along with the required amount versus available amount of the system.

For example: AV: Fuselage (2; 0). AV is the subsystem acronym for the System; Fuselage is the part type being referenced; 2 is the quantity required to be FMC and 0 is the quantity the system contains. Note: If any one of the subsystems is NMC the entire system is NMC.

At the bottom of the Systems page, a summary table is visible (Figure 37) which displays readiness statistics of the various system types. Each system type is broken down into Systems, Vehicles, Cameras, GCSs, Batteries, Chargers and RSTAs, and each of those categories display Total, FMC, PMC and NMC.

At the very bottom of the Systems page is a link to a printable version. The SUAS Systems Status Report (Figure 38) opens a PDF document in a new window which is color coded in red (NMC), yellow (PMC) and plain text (FMC).

3.5 LOCATIONS

The Locations screen contains a selectable list of SUASMAN locations that you can select to get information on that particular location. You can also upload files with information pertaining to the selected location. (Figure 39)

You can upload a new location by clicking the Browse button and selecting a file off your computer. Once your file is selected and you have entered the location information click the Update button to save it.

You can also edit an existing location by clicking the Edit button. The list will include inactive locations when the Show Inactive button is clicked. You can also make a location inactive by check the Inactive checkbox (Figure 39).

3.6 MISSION TYPES

The Mission Types screen (Figure 63) contains a list of mission types displayed on the Operations | Log a Flight screen. There is a button at the bottom that says “Show Inactive”. When that button is clicked, a second column of checkboxes appears to the right of the mission types showing which items are inactive, and do not show on the Log a Flight screen.

To the right of the list is a form (Figure 65) displaying the data for the selected mission type. Click the New button, fill out the form, and click the Update button. Or click the Edit button, make changes, and click Update.

4 TRAINING

4.1 TRAINING STATUS

This page displays all relevant information regarding a user’s Training Status.

4.1.1 ACCOMPLISHED TRAINING

Accomplished Training Status (Figure 40) displays the training status of an operator based on all approved training. This list can be sorted by clicking the Event or Description column headers. If a user is current, the Due Date will appear in green. Yellow indicates the user is within 30 days of going non-current. Red means the user is either non-current or unqualified. Note: Until approved, pending training events are not used to calculate the Accomplished Training Status.

Note: Only UTMs can see the user dropdown list at the top of the page, which displays the training status of the selected user.

Another feature of SUASMAN is that the system runs a report every Sunday which emails the UTMs a list of their personnel showing their overall currency. The email is a summary. For detailed information, check the Training Status page on the SUASMAN site.

Two reports can be generated from this screen: Print Individual Training Log (Figure 41), and Print Individual Training Flight Log (Figure 42). The buttons are located below the Accomplished Training Status display.

4.1.4 TRAINING PENDING APPROVAL

Training events awaiting UTM approval (Figure 43) are visible below the Accomplished Training Status (Figure 40).

4.1.5 SUBMIT ACCOMPLISHED TRAINING

Some training events are submitted when a user logs a flight (Figure 21). For those events not associated with a mission, users submit accomplished training (Figure 44) via the Training Status page. Choose the appropriate training event from the Event drop down list. Fill in the Number Accomplished, and the Date Acc (accomplished). When the cursor enters the Date Acc text box, a pop up calendar will appear. Once the form is filled out, select Submit. Note: It is also possible for Training Managers to submit Training for other users in this section. If a user is selected from the personnel drop down list, all training submitted will correspond to the selected user.

4.1.6 UNACCOMPLISHED ASSIGNED TRAINING – 30/60/90

At the bottom of the Training Status page (Figure 40) is a button showing “30/60/90”, which displays the Unaccomplished Assigned Training for a unit (Figure 45). Unit Training Managers can select a unit from the Unit drop down list. Subordinate Units are included by checking the appropriate box. To return to the Training Status page, click the button at the bottom of the page. The Close button returns the user to the Home page.

4.1.7 PRINT UNIT TRAINING LOG

A Unit Training Log (Figure 46) can be generated by selecting a unit from the dropdown list and clicking the Print Unit Training Log button. The bottom of the report displays training that is pending approval.

4.2 APPROVE TRAINING

This screen shows two grids of Training Items submitted for approval: one for Training Managers and one for Instructor/Evaluator. These roles have the ability to approve/delete training events submitted by operators (Figure 47). Each item pending approval will be listed and has two check boxes (Approve/Delete). Buttons are provided to Mark All as approved, Clear All, Update and Close. Changes made are not effective until the Update button is selected.

A report is generated every Sunday which emails Instructors and Evaluators to notify them that there is unapproved mission training which they must review.

4.3 ASSIGN/REMOVE TRAINING

Training Managers can assign/remove training events to/from operators. Training events must be assigned to a user before the event will show up on the user’s Training Status (Figure 40).

4.3.1 SECTION ONE – TRAINING EVENTS

Select Training Event (s) by clicking on the checkboxes (Figure 48). Holding the cursor over the Event ID will display a tooltip showing the description of the Training Event. A button at the bottom is provided to Select All Training. There is also a checkbox which will display all training.

4.3.3 SECTION THREE – TRAINING ASSIGNED TO INDIVIDUAL

Section three (Figure 50) displays training assigned to the selected individual. (Note: This section will not display any training events if more than one person is selected in the Operators list (Figure 49).) Also of note: Read Items and Training Events are automatically assigned when a user is granted an Operator/ Evaluator/ Instructor role from the Admin | User Management screen.

4.4 TRAINING EVENTS

SUAS Administrators can create/edit the training events in the system (Figure 51). Each item has a Task ID, Task name and a task description. Each event can also be designated as a grounding item. Changes are not effective until the update button is pressed. Each item can be defined as a one-time training event, annual, periodic currency/qual or other re-occurring training event.

To edit an existing event, select the event from the event list (Figure 51). This list is broken into two categories: Currency Events and Read Item Events. Click the +/- to expand/collapse the categories.

NOTE: Task ID and Task Name (Figure 52) must be unique. If an event with the same identifying information already exists, the user will be directed to modify those fields, or the event will not be created.

One-time events must only be accomplished once. If a one-time event is assigned to an individual, a due date does not apply.

Annual training events are accomplished yearly. The due date is based upon the following three options:

Date Assigned – The event will be due yearly on the date the training was assigned.

Prior to Date – The event must be accomplished yearly prior to the specified date.

Birth Month – The event must be accomplished yearly before the end of the assigned user’s birth month. (Note: This event requires the user to have a valid DOB in the Admin | Personnel Editor page. If they do not have a valid DOB, the event cannot be assigned from the Training | Assign/Remove Training screen.)

Each annual event (Figure 52) you can apply a buffer or restriction to each annual occurrence type. You may specify a specific number of days/months to modify the due date to adjust the due date the specified length of time before or after the due date. Checking the Buffer/Restrictions checkbox will enable these options. Checking the EOM (End of Month) checkbox will set any annual occurrence type to be due at the end of the month in which the event is due.

Periodic Currency/Qual events (Figure 53): Revolving calculation of the criteria is used to calculate this event; e.g. calculates currency upon today. A periodic currency/qual event is comprised of three categories: In order to successfully complete this event the user must meet the currency criteria and the volume criteria. If they meet neither and do not meet the qualification criteria, they become unqualified.

Other recurring training events must be accomplished every X days/months, with the option of selecting the EOM checkbox from the date it was assigned.

Additional criteria can be identified once the event type is specified. If the event requires flight time, check the corresponding checkbox. The bold fields are required. Event Types can be set to Currency, or publications. Event Categories are Flight Evaluation, Records Review, Sortie, Written Exam, Initial Qualification, Non-Flight Evaluation, Periodic Qualification, Flight Physical, Initial Mission Evaluation, or Combined Qualification/Mission Evaluation. Selecting a service is required, but the Command, Unit, and Vehicle selections are not.

4.5 TRAINING RECORD

4.5.1 FOLDERS

When the training record screen first loads, the topmost folder will be selected (Figure 55). Holding the mouse cursor over a folder will display a tool tip describing the intended content for that folder. Clicking on a different folder will highlight the new folder and refresh the page with documents within that folder.

4.5.2 DOCUMENTS

Only Training Managers, Instructors/Evaluators and Master Trainers will see a dropdown list above the documents grid (Figure 56) used to Select Personnel, otherwise the dropdown list will not be visible. The columns of this grid can be sorted. There is a link in the far left of the documents grid which will display Edit if the user has modify rights for the selected individual, or Details if not. Clicking the Edit/Details link will display the Details Panel (Figure 58). Clicking the document Title will open the document (Figure 60).

4.5.3 TRAINING EVENT HISTORY

Below the Documents section is a grid showing recently submitted Training Event History for the selected individual (Figure 57). The columns of this grid can be sorted. Note: The data in this grid is for informational purposes only and cannot be edited from this screen. To modify this data, go to Training | Training Status.

4.5.4 DOCUMENT DETAILS

Selecting a document from the Documents grid (Figure 56) will open the Document Details panel (Figure 58). This panel displays all of the information pertaining to the selected document. If the user has edit rights, the user can upload new documents (Figure 59) to an individual’s training record by clicking the “New” button. Bold fields are required.

4.5.5 UPLOADING A FILE

When a user clicks the “Browse” button on a file upload box, a window opens similar to the one shown below (Figure 59). The user will then navigate to the document’s location, select it, and click “Open”. The document does not actually get uploaded until the “Save” button is clicked (Figure 58).

4.5.6 DOWNLOADING A FILE

When a user clicks on a document to view, a dialog box will appear similar to the one below (Figure 60).

The user can then choose to “Open” the file directly, or “Save” the file to his computer. Clicking “Cancel” will close the dialog box without opening or saving the file.

4.5.7 CONFIRM DELETE

When modifying documents in the Training Record, the manager may choose to delete an item. Before the action is carried out, however, the system will ask if that is truly the action that was intended (Figure 61). It is possible to mark documents as “Inactive” which will keep the documents in the system, but will hide them from view. If the user clicks “Ok”, the document will be deleted forever and cannot be recovered.

4.6 LIBRARY

The Library (Figure 62) contains a list of publications (Read Items and Technical Manuals) made available to SUASMAN users. Some files may be read at leisure, whereas others may be assigned as required reading. The difference between a Read Item and a Technical Manual is just that. Technical manuals are “recommended” where as Read Items, if assigned, are required. Read Items can be assigned to individuals through Training | Assign/Remove Training. However, Technical manuals cannot be assigned.

When creating a new publication, if an item is selected as a Read Item document type, a Training Event will also be created for the Read Item so that it may be assigned as required Training. Publication Types cannot be modified (i.e. A Read Item cannot be changed to Technical Manual, and vice versa. The Read Item must be deleted and the Technical Manual added.) NOTE: Deleting a Read Item also deletes the Training Event and all submitted training for all users.
