About this file
This is a Service Level Requirements exhibit for a Managed Print and Copy Services contract with LEAD Public Schools in Tennessee. The contractor must provide network-wide printing, copying, and related services across multiple LEAD Public Schools campuses and administrative offices to support instructional, administrative, operational, marketing, and community engagement needs. Services shall be delivered during normal business hours of Monday through Friday, 8:00 a.m. to 5:00 p.m. Central Time, excluding LEAD-observed holidays, with emergency support available outside these hours for critical equipment outages. The contractor must meet specific service response requirements based on severity levels: critical issues require acknowledgment within one business hour and same-day service; high-priority issues require acknowledgment within two business hours and service within four business hours; and standard routine issues require acknowledgment and service within one business day. All equipment must maintain a minimum 98% monthly uptime, excluding scheduled maintenance, network outages, force majeure events, and damage from misuse.
The contractor must establish a comprehensive preventive maintenance program based on manufacturer recommendations and LEAD's operating requirements while providing remote monitoring capabilities to track device errors, toner levels, meter readings, and equipment performance. Loaner or replacement equipment must be provided when devices cannot be restored within required service levels, with replacement units being comparable to or exceeding the original device's capabilities at no additional cost to LEAD. The contractor shall proactively monitor and replenish toner and consumables within two business days for standard requests and same-day for emergency requests submitted before 12:00 p.m. Central Time. Monthly service-level reporting must include total service calls, response and resolution times, equipment uptime and downtime, repeat service calls, toner fulfillment metrics, equipment replacements, outstanding issues, and SLR compliance documentation. Failure to consistently meet service level requirements may result in corrective action plans, service credits, equipment replacement, or contract termination, with performance reviews conducted periodically at LEAD's request.
