About this file
This is a Scope of Work document for LEAD Public Schools in Tennessee outlining the requirements for Managed Print and Copy Services across all LEAD network locations. LEAD seeks qualified vendors to provide comprehensive printing and copying services including equipment assessment, implementation, maintenance, supplies, print management, reporting, and ongoing support. The scope encompasses network-wide managed print services scalable to accommodate changes in enrollment, staffing, and operational requirements. The selected contractor must conduct an initial assessment of LEAD's existing print environment, develop and execute a network-wide implementation plan with minimal disruption to school operations, and provide detailed implementation schedules with identified milestones and completion dates. The contract deliverables include an initial assessment and recommendations, network-wide implementation and deployment plan, equipment inventory and device list, installation and configuration schedule, training plan and materials, print management and reporting system, monthly usage and performance reports, service and maintenance records, billing and cost reports, annual performance review and optimization recommendations, and a transition plan upon contract expiration or termination.
The contractor must meet minimum service standards including remote support within one business hour, standard service requests within four business hours, critical device outages addressed same business day, and on-site service within one business day. The contractor is responsible for providing all equipment, preventive and corrective maintenance, parts and labor, toner and consumables (excluding paper unless included in the proposal), equipment replacement, and asset inventory management. Invoices must be sufficiently detailed and itemized by location, device, base charges, black-and-white and color impressions, overage charges, and approved additional services with no additional fees permitted unless specifically identified in the proposal or approved in writing. An optional on-site print shop management component is available, which includes providing a dedicated Print Shop Manager for selected campuses to oversee daily operations, production, customer service, inventory management, and reporting. LEAD retains responsibility for providing facility access, designating coordination personnel, approving implementation plans and material changes, and paying properly submitted invoices according to contract terms.
