About this opportunity
Collier County, Florida is pursuing a sole source procurement with UKG Kronos Systems, LLC for annual maintenance and support of scheduling software, specifically Telestaff/Webstaff, with associated Cloud Services. The procurement covers Interactive Voice Response (IVR) services for Emergency Medical Services (EMS), enabling automated phone calls to field employees for vacancy filling and work opportunity notifications. The contract period spans from May 22, 2025, to December 17, 2026, and includes annual Platinum support services and technical upgrade services to migrate the Kronos software to the Kronos Cloud. Potential respondents have an opportunity to contest the sole source designation by submitting documentation demonstrating alternative qualified sources, though this is not an invitation to submit pricing. The submission deadline is Tuesday, June 3, 2025, at 3:00 pm, with all responses to be submitted online through the Collier County Procurement Services Division Online Bidding System. The Procurement Services Division retains sole discretion in evaluating and approving any alternative proposals.
While no specific set-aside designations or restrictions on responding organizations are mentioned, the procurement appears to be a targeted, specialized technology acquisition. The sole source justification suggests UKG Kronos Systems, LLC possesses unique capabilities that make them the preferred vendor for this scheduling and communication software solution. The procurement focuses on continuing and enhancing existing technological infrastructure, specifically the Telestaff/Webstaff system and its IVR component. Though no explicit budget range is provided in the documentation, the procurement covers annual maintenance, support, and cloud migration services, indicating a multi-year commitment to the technology platform. The document emphasizes the technical specificity of the solution, particularly its ability to support EMS scheduling and communication needs, which appears to be the primary driver for the sole source approach.
