About this file

This is a Pre-Bid Meeting Sign-In Sheet for Request for Quotation 26-030-JG issued by the Kissimmee Utility Authority (KUA) in Florida. The RFQ solicits quotations for the purchase and installation of three Variable Frequency Drives (VFDs) and motors for chilled water air handlers serving the Polk County and Lake Harbor CDP jurisdictions. The project involves the removal of old variable inlet valves, installation of new static pressure sensors where needed, installation of new motors and fan/blower sheaves, and cleaning of fans/blowers for three McQuay air handler units. The deliverables consist of two 7.5 horsepower, three-phase, 460-volt motors with frame size S213T and one 15 horsepower, three-phase, 460-volt motor with frame size S254T. All work must be completed during non-business hours (outside Monday-Friday, 7:00 AM to 6:00 PM) to prevent operational disruptions. Responses were required to be submitted electronically through Vendor Link by Tuesday, April 7, 2026, at 2:00 PM EST, with a public bid opening scheduled via Zoom.

Pricing must be submitted as lump sum, all-inclusive fixed-price quotes with unit prices and total prices clearly identified for each motor type and the labor component, all FOB destination with freight and delivery costs paid by the vendor and prices excluding Florida State Sales and Use Taxes. Yaskawa is the preferred brand for motors and drives, though equivalent products meeting or exceeding specifications are acceptable as determined by KUA. Qualifying vendors must demonstrate five consecutive years of verifiable experience servicing commercial accounts of equal size and scope, maintain current Florida business licensing, provide four commercial references, and maintain OSHA certification and current insurance coverage naming KUA as additional insured. This procurement is not subject to any documented set-asides or disadvantaged enterprise restrictions, and no incumbent contractor information has been identified. Vendors must comply with all federal, state, and local laws and provide required compliance documentation including conflict of interest statements, public entity crimes sworn statements, drug-free workplace certification, I-9 verification compliance, and network access certifications.
