About this file

The document is a Request for Bid (RFB) Special Provisions for the City of Oklahoma City, specifically targeting the procurement of generator systems, equipment, parts, and services. The solicitation seeks to purchase generators, generator-powered portable lighting, and preventative maintenance and repair services, with a comprehensive scope that includes repair services within 24 hours of receiving a purchase order, scheduled maintenance, and the potential purchase of new generator systems. The bid covers a wide variety of generator brands and capacities, including light towers and emergency lighting units, with an emphasis on local responsiveness requiring vendors to respond within 30 minutes and report to work sites within two hours of initial contact.

Pricing for the contract will be based on manufacturers' suggested retail prices with a percentage discount, and bidders must provide hourly labor rates, service call fees, and training rates in the electronic bidding system. Insurance requirements are stringent, including worker's compensation, general liability, and automobile liability coverage with specific minimum coverage amounts. Successful bidders must be authorized dealers with access to parts, schematics, and manufacturer support services. The contract includes robust warranty provisions, mandating that all equipment and work have at least a one-year warranty covering latent defects, materials, workmanship, and installation. Subcontracting is permitted with written approval, and markup is limited to 15% (10% overhead, 5% profit) for work exceeding $100,000.
