About this file
This document provides detailed instructions for a site visit at Fermilab scheduled for Wednesday, November 12, 2025, at 9:00 a.m. CT. The optional site visit is intended for prospective bidders to view representative facility types, including a laboratory, office space, and residential building, as part of an RFP to establish a pool of IDIQ subcontracts. Participants must complete an Access Request form by November 5, 2025, preferably be U.S. Citizens, and will need to present a valid Real ID, an informal invitation letter with a QR code, and a Visitor and Business Visitor Attestation Form at the Pine Street Access and Badging Center.
The site visit will include tours of Wilson Hall, the Helen Edwards Engineering Research Center, Blackhawk Street Residences at Fermilab Village, and Site 38 Barn. Strict security protocols are in place, including prohibitions on weapons, explosives, and hazardous materials. Non-U.S. citizens will require additional approvals through the Foreign National Access Program (FNAP) and must complete onboarding in WorkDay. The point of contact for the visit is Danielle Amico from the Finance department, and the purpose is listed as a Procurement Meeting, with the site visit taking place in the WH Atrium in Batavia, Illinois.

SITE VISIT - BUSINESS VISITOR REGISTRATION INSTRUCTIONS & DIRECTIONS
An optional Site Visit is scheduled for Wednesday, November 12, 2025 at 9:00a.m. CT at the Pine Street Access and Bading Center for badging (See Fermilab Site Map). From there, we will go to Wilson Hall first. We also plan on visiting the Helen Edwards Engineering Research Center, Blackhawk Street Residences at Fermilab Village, and Site 38 Barn. These locations are all circled in red on the Fermilab Site Map.
The site visit provides an opportunity for prospective bidders—particularly those who have not previously been onsite at Fermilab—to view representative facility types, including a laboratory, an office space, and a residential building. While this RFP is intended to establish a pool of IDIQ subcontracts and is not tied to a specific project, the site visit will help familiarize prospective bidders with the general environment and construction conditions they may encounter. Please note that nothing said or represented at the site visit shall be deemed to modify RFP requirements unless followed by a written amendment.
Except for those already having a Fermilab Access badge, anyone attending the site visit must fill out an Access Request form (see link below) no later than Wednesday, November 5, 2025 and preferably be a U.S. Citizen. Onsite access approvals are dependent on citizenship status and the location(s) being visited.

Upon request approval, the individual will receive an informal invitation letter with a QR code, which is required to be presented at the security gate. Otherwise, access to Fermilab will be denied.
When checking in at the Pine Street Access and Badging Center, the individual will be required to present a Valid Driver’s License (Real ID) and the informal invitation letter with the QR code, and the Visitor and Business Visitor Attestation Form. If the Driver’s License is not Real ID compliant, one of the appropriate REAL ID documents (https://www.tsa.gov/travel/security-screening/identification) is required.
Please note that when entering Fermilab:
• No weapons, firearms, or ammunition (regardless of concealed and carry permit) are allowed on-site.
• No explosives or any other apparatus or material hazardous to the public or property are allowed on-site.
• Illinois Rules of the Road are to be followed while driving on Fermilab’s premises.
