About this file
This is an Integration Inventory exhibit supporting the City of Phoenix's Enterprise Asset Management (EAM) software and implementation procurement for multiple municipal departments, including Aviation, Public Works, Street Transportation, and Water Services. The inventory catalogs existing system interfaces and data exchanges that the new EAM solution must integrate with or replace, including connections to eChris (PeopleSoft) for employee and wage data, HARS for process control data, UCOS for work request creation, SAP for financial transactions and catalog management, GIS for asset location information, AutoCAD for design data, Dynamics365 for citizen-submitted maintenance requests, and various Building Automation Systems (BACnet protocol) for HVAC, lighting, fire safety, and other facility controls. The current infrastructure processes approximately 2,800 employee records daily, 800 process control data points, 100 work requests, 5,000 SAP catalog items, 200 GIS records, and supports complex inbound and outbound data flows across multiple departments. The five-year contract is scheduled to commence on or about May 1, 2026 (with an alternative start date of July 1, 2026), with proposals due by November 14, 2025, and a pre-offer conference scheduled for October 10, 2025.
The integration inventory reveals a sophisticated municipal technology ecosystem managing 443 properties across 11 client departments, totaling 10,496,280 square feet and 14,709 land acres, with Water Services currently managing 2,128,271 total assets and potential future expansion to 340,000 assets. Current data integration methods include DBLink connections, JDBC connections, FTP file transfers, web services, and batch jobs, with most interfaces operating on daily or on-demand schedules. The solicitation emphasizes modernizing these interfaces to adopt industry-standard protocols and design practices to enhance integration, interoperability, security, and performance. Potential future integrations include multiple building automation systems across the Aviation Department (including fire alarm systems, lighting controls, baggage handling systems, EV charging, submetering, and various monitoring platforms) and integration with additional platforms such as APTIdea for pavement management and KONE Care. The procurement requires vendors to demonstrate comprehensive integration capabilities and security protocols, including completion of a data privacy questionnaire to assess privacy risk levels.
