Frequently Asked Questions (FAQs)
1. I’m a Civilian working in an MTF who still fills a Service billet (Army, Navy, or Air Force). Which training do I do?
Answer: Civilians that fall under the Authority, Direction, and Control of the Armed Services (Air Force, Army, and Navy) but are detailed to DHA facilities must follow the same training requirements as outlined for that Services’ active-duty military members on this document.
Training completion automatically transfers from JKO to FLTMPS (for the Navy) and DTMS (for the Army) Learning Management Systems (LMS). We are working to do the same for MyLearning (USAF). In those instances, your training coordinator will need to receive a training certification to mark training as complete in MyLearning.
2. I’m a Service Member. Do I complete both my Service-required training and DHA training?
Answer: Service Members that work within DHA facilities: (1) must follow Service training requirements as well as complete any DHA and locally required training specific to their DHA assignment. This training list has been tailored to reflect which training must be done using both DHA and Service-required methods or training platforms.
3. I am a Service Member. Where can I find my Service's list of required general mandatory training (GMT)?
Answer: Service General Mandatory Training lists can be found at:
• Air Force - https://lms-jets.cce.af.mil/moodle/ (Air Force MyLearning site: select *Total Force Awareness Training*)
• Army - https://atn.army.mil/unit-training-management-(utm)/ar-350-1,-appendix-f-mandatory-training (CAC log-in; scroll to the bottom of the page. Under *Unit Training Management*, select *AR 350-1, Appendix Mandatory Training*.
• Navy - https://www.mnp.navy.mil/group/general-skills-training/gmt (Log into My Navy Portal: go to *Professional Resources* at the top of the page, then select *General Military Training (GMT)* from the drop-down menu)
4. How do I make sure that I get auto enrolled in Annual Mandatory Training (AMT) in JKO, the DHA LMS?
Answer: To be auto enrolled to the correct AMT module, your profile must have the correct audience listed. Individuals can have more than one audience listed in their profile based on their roles within the organization. Refer to FAQ #5 and the DHA LMS User Management https://lms-jets.cce.af.mil/moodle/ https://atn.army.mil/unit-training-management-(utm)/ar-350-1,-appendix-f-mandatory-training https://www.mnp.navy.mil/group/general-skills-training/gmt
SOP at https://info.health.mil/edu/aro/lms/Documents/JKO%20System%20Training/DHA_LMS_User_Management_SOP.pdf for additional information.
5. What are the DHA Audiences and their definitions?
Answer: Every person working within MTFs must have at least one of the following primary audiences in their profile.
• DHA Contract Support: Includes all Contractors who directly support and are administratively aligned under the Defense Health Agency (DHA).
• DHA Government Service Civilians: Includes Federal Civilians assigned to the Defense Health Agency (DHA).
• *DHA Military and Dual Status Personnel - Air Force Service Members: Includes Air Force active-duty and reservist military members that are assigned to DHA.
• *DHA Military and Dual Status Personnel - Army Service Members: Includes Army active-duty and reservist military members that are assigned to DHA.
• *DHA Military and Dual Status Personnel - Navy Service Members: Includes Navy active-duty military and reservist members that are assigned to DHA.
*NOTE: If active-duty members have the old audience “DHA Military and Dual Status Personnel” in their profile, training assignments may not be correct.
The following secondary audiences are linked to other DHA required training and should be added to a student’s profile based on their role to ensure auto-enrollment in the appropriate training:
• DHA SES or Senior Leaders: Includes Senior Executive Service employees and senior leaders (E-9/O-7 and above).
• DHA Supervisors: Includes HR-documented employees who have a documented authority to manage and oversee the performance and well-being of personnel in their unit or work area.
• DHA Mandatory Training - All Providers: Includes all healthcare providers who are assigned to “ART A” in the Relias Learning Management System.
• Suicide Risk Care Pathway Training - Providers Outside Behavioral Health Specialty Care: Includes all healthcare providers outside of behavioral health specialty care, licensed independent providers and those working under their license. This includes anyone having clinical contact with patients.
• Suicide Risk Care Pathway Training for Behavioral Health Specialty Care: Includes all BH providers, licensed independent BH providers and those working under their license. This includes anyone having clinical interaction with patients.

6. How do I make sure that my training completion is reflected in DHA LMS (JKO) reports?
Answer: To ensure that your name is shown in completion reports, you must update your profile with the correct Primary and/or Secondary Organization(s). Individuals can have more than one (1) secondary organization.
• DHA Civilians and Contractors: Primary Organization will be their MHS-DHA work location assignment. Example:
o Primary Organization: JKO -> MHS -> MTF Markets -> National Capitol Region -> WALTER REED NATL MIL MED CNTR
• Service Members and Service Civilians: Primary Organization will be the Service Medical Department under the MHS top-level org in the LMS; the secondary organization will be the MHS-DHA work location assignment. Example:
o Primary Organization: JKO -> MHS -> Army Medicine (or Navy-U.S. Navy Medicine or AF-U.S. Air Force Medical Service) o Secondary Organization: JKO -> MHS -> MTF Markets -> National Capitol Region -> WALTER REED NATL MIL MED CNTR
• Duty at Multiple Organizations (i.e., providers who practice at multiple MTFs): Align the primary organization where the user is assigned for duty and list all other facilities as secondary organizations. For example, user assigned to Walter Reed Army Medical Center but also conducts clinic at Malcolm Grow Medical Clinics and Surgery Center:
Service Members and Service Civilians:
o Primary Organization: JKO -> MHS -> Army Medicine or
JKO -> MHS -> Navy-U.S. Navy Medicine or JKO -> MHS -> AF-U.S. Air Force Medical Service o Secondary Organization: JKO -> MHS -> MTF Markets -> National Capitol Region -> WALTER REED NATL MIL MED CNTR JKO -> MHS -> MTF Markets -> National Capitol Region -> AF-ASU-11th MEDGRP-Andrews
DHA Civilians and Contractors:
o Primary Organization: JKO -> MHS -> MTF Markets -> National Capitol Region -> WALTER REED NATL MIL MED CNTR o Secondary Organization: JKO -> MHS -> MTF Markets -> National Capitol Region -> AF-ASU-11th MEDGRP-Andrews
• JKO Training Coordinators (TC): All TCs will have their organizations set to the following once they complete their training and have their status updated. This allows them to “see” learners from throughout the DHA and assist them with assignments.
o Primary Organization: JKO -> MHS o Secondary Organization: JKO -> MHS -> (their primary and secondary work assignments)
• Refer to the DHA LMS User Management SOP at https://info.health.mil/edu/aro/lms/Documents/JKO%20System%20Training/DHA_LMS_User_Management_SOP.pdf
7. I’m a Contractor. What training do I do?
Answer: Please refer to the training list in this document as well as your contracting documents for any training required for your position.
8. I am a contractor, civilian, or military member not assigned, hired, or contracted by DHA but supporting DHA in some manner. Am I required to do DHA Annual Mandatory Training?
Answer: No, you will follow the training requirements of your respective organization. However, if you are using the DHA network computer as part of your duties, you will be required to complete DHA Cyber Awareness and HIPAA training for access at a minimum.
9. I’m an active-duty service member (ADSM) being asked to do training that is already required by my Service. Do I need to complete it?
Answer: Yes. Each year, the Service’s training lists are reviewed to see what requirements ADSMs are being asked to complete. Any duplicate training is removed except for training for which DHA required to report training completion for personnel working within DHA facilities. Because JKO training automatically feeds into the Service training platforms, you may be able to get credit for training completed in JKO except for training required to be completed face-to-face.
10. Who do I contact in my MTF if I need assistance?
Answer: For any immediate questions regarding DHA LMS training, please contact your MTF or work center’s DHA LMS Training Coordinator (TC), most likely located in your Education & Training (E&T) office. If you have technical issues with JKO, contact the DHA Global Service Center (GSC) at 1-800-600-9332 or dhagsc@health.mil. DO NOT contact the JKO Help Desk or the DHA LMS team for technical issues. If needed, the DHA GSC will contact other individuals for assistance with your trouble ticket.
11. Can Training Coordinators create their own training audiences so that due dates for required training can be changed?
Answer: Yes; however, please know this is NOT recommended because there are already established DHA audiences to which the appropriate courses are aligned. TC’s can reach out to the DHA LMS Team at dha.ncr.acad-review.mbx.dha-e-t-lms@health.mil for additional guidance.
https://info.health.mil/edu/aro/lms/Documents/JKO%20System%20Training/DHA_LMS_User_Management_SOP.pdf mailto:dhagsc@health.mil mailto:dha.ncr.acad-review.mbx.dha-e-t-lms@health.mil
12. Can we add additional training at the MTF level?
Answer: Yes, MTFs may add any additional training deemed necessary for the safe and effective functioning of their personnel by creating an MTF-specific audience attached to the pertinent training. However, individuals must complete all assigned basic training that is listed on this document; no training may be removed from this list without the express consent of DHA.
13. How can leadership track training compliance at the MTF or Market level? Who should I contact for training compliance reports?
Answer: There are three elevated roles in DHA LMS that can assist with monitoring training compliance within an organization: DHA LMS Reports Manager (RM), DHA LMS Training Manager (TM), and DHA LMS Training Coordinator (TC). These individuals should be able to assist in running reports to check for training compliance. Please visit the DHA SharePoint site to learn more about these roles and the required training to become one at: https://info.health.mil/edu/aro/lms/Documents/Forms/AllItems.aspx.
14. What is the definition of a supervisor?
Answer: A supervisor includes HR-documented employees who have a documented authority to manage and oversee the performance and well-being of personnel in their unit or work area according to their position description.
15. Is AMT the same as ART?
Answer: No.
• Annual Mandatory Training (AMT) are administrative and/or other training requirements as determined by Congress, the Department of
Defense, the Office of Personnel Management, DHA, or another governmental entity. These trainings are mostly completed on the DHA learning management system (LMS) Joint Knowledge Online (JKO) by individuals based on their assigned audience (see FAQ #5).
• Annual Regulatory Training (ART) are regulatory and accreditation training requirements as determined by The Joint Commission and/or the Occupational Safety and Health Administration (OSHA). These training modules are completed either annually or triennially (every 3 years) in the Relias LMS and are assigned to every individual in an MTF based on their Job Specialty Code.
16. What are the governing documents for all the listed training?
Answer: Specific references that guide each training are provided in the “Regulatory Guidance” column of this training list.
https://info.health.mil/edu/aro/lms/Documents/Forms/AllItems.aspx
17. What is the definition of a Senior Leader?
Answer: E-9 at the Command leadership level, O-7 and above, or Senior Executive Service (SES).
18. How do I access the Human Resources for Supervisors Training on the CHRTAS website?
