About this file

This is an addendum to a request for quotation (ARFQ 18.07) addressing service level agreements and specifications for digital copier equipment and maintenance. The agency requires digital copiers with all-inclusive maintenance and supplies, excluding paper, up to 65,000 copies per month. The vendor must provide on-site service and maintenance capabilities through a full service and maintenance contract, coordinate installation with agency personnel, and supply a temporary replacement copier if the leased unit is down for 16 or more consecutive working hours. The vendor must establish an 800 telephone number for service support and respond to all service requests within two working hours, with on-site completion required within eight working hours. Service availability is limited to normal business hours (8:00 a.m. to 5:00 p.m. EST), Monday through Friday, excluding state holidays. Failure to consistently meet response time requirements may result in contract cancellation.

The monthly copy estimate is 65,000 or fewer copies per copier, with the vendor able to charge a per-copy fee for usage exceeding this threshold. The agency will not accept a pay-per-print cost model without bundled pages or overage provisions. Hole punch functionality is not required with the finisher option. The vendor must submit a copy of the maintenance agreement and proof of the 800 support number for approval prior to contract award.

Per section 4.1.3.5 of the specifications, vendor must respond to all requests for service within two (2) working hours of the agency’s request and be on site to complete the repair within eight (8) working hours of the request throughout the term of this contract. Repetitive complaints concerning the failure to meet this requirement may be cause for cancellation of the contract.
