About this file
Addendum 2 is a document from Brevard County Purchasing Services related to the Computerized Maintenance Management System (CMMS) Request for Proposal RFP-3-25-12, issued on March 13, 2025. The addendum provides clarification on user licensing for the proposed CMMS, with the proposal opening date remaining March 28, 2025, at 3:00 PM. The county seeks a comprehensive software solution with a detailed breakdown of anticipated users, including more than 12 admin users, over 20 super/power users, more than 50 staff users, and over 3,500 requestors, with potential for expansion across different county departments.
The addendum specifies that the software vendor must provide a single-cost solution with unlimited user accounts and no additional licensing fees for future users. This approach aims to create a flexible, scalable system that can grow with the county's needs without incurring incremental licensing costs. The licensing model is designed to support the initial implementation in the Facilities division, with the potential to expand to other Public Works Department programs and additional county departments. The county's goal is to obtain a comprehensive, cost-effective CMMS that can integrate with existing systems and support their evolving asset management requirements.

March 13, 2025 Addendum 2

CLARIFICATION TO QUESTIONS ASKED RECEIVED:
1. Question: After reading Addendum 1, we have some clarifying questions regarding licensing. We will need this information to put together an accurate quote for our response.
On question/answer 22, the response states that the county wants a site license. Can you estimate the actual number of users the county will need?
The answer to this question also states that the county wants a fixed cost with no recurring or future user licensing? Could you please expand on this answer? What do they mean by no recurring licensing fees?
Response:
Estimated Number of Users:
The County expects to have users, based on user roles as defined on Page 12 of the RFP, needed for the initial implementation (Facilities) to be as follows:
Admin Users: Estimated to be more than 12 Super/Power Users: Estimated to be more than 20 Staff Users: Estimated to be more than 50 Requestors: Over 3,500
This number will increase as more Public Works Department programs and/or other County departments adopt the system.
Fixed Cost with No Recurring or Future Licensing Fees:
The software vendor must provide a single-cost solution for the system, including unlimited user accounts, with no additional licensing fees for future users.
Please note that the proposal opening date and time remains March 28, 2025, at 3:00 PM.
All other terms and conditions remain unchanged.
Sincerely, Mary Bowers Purchasing Manager
