About this file
Addendum 2 is issued by Brevard County Purchasing Services for RFP-3-25-12, a Computerized Maintenance Management System (CMMS) procurement. This addendum addresses licensing and user count clarifications for potential contractors, with the proposal opening date remaining March 28, 2025, at 3:00 PM. The county expects an initial user base comprising more than 12 admin users, over 20 super/power users, more than 50 staff users, and over 3,500 requestors, with potential expansion across additional Public Works Department programs and county departments.
The addendum specifies that the software vendor must provide a single-cost solution with unlimited user accounts and no additional licensing fees for future users. This approach reflects the county's desire for a comprehensive, scalable CMMS solution without recurring per-user licensing costs. The licensing model is designed to accommodate the county's current needs while providing flexibility for future growth, supporting the implementation of a robust maintenance management system that can potentially be adopted across multiple departments and serve a diverse range of user roles.

RFP-3-25-12
March 13, 2025 Addendum 2
TO ALL PROSPECTIVE CONTRACTORS
This is Addendum 1 to and shall be considered part of the original RFP-3-25-12 Proposal package for the above-mentioned Proposal. Contractors are requested to acknowledge receipt of this Addendum with their Proposal.
CLARIFICATION TO QUESTIONS ASKED RECEIVED:
1. Question: After reading Addendum 1, we have some clarifying questions regarding licensing. We will need this information to put together an accurate quote for our response.
On question/answer 22, the response states that the county wants a site license. Can you estimate the actual number of users the county will need?
The answer to this question also states that the county wants a fixed cost with no recurring or future user licensing? Could you please expand on this answer? What do they mean by no recurring licensing fees?
Response:
Estimated Number of Users:
The County expects to have users, based on user roles as defined on Page 12 of the RFP, needed for the initial implementation (Facilities) to be as follows:
Admin Users: Estimated to be more than 12 Super/Power Users: Estimated to be more than 20 Staff Users: Estimated to be more than 50 Requestors: Over 3,500
This number will increase as more Public Works Department programs and/or other County departments adopt the system.
Fixed Cost with No Recurring or Future Licensing Fees:
The software vendor must provide a single-cost solution for the system, including unlimited user accounts, with no additional licensing fees for future users.
Please note that the proposal opening date and time remains March 28, 2025, at 3:00 PM.
All other terms and conditions remain unchanged.
Sincerely, Mary Bowers Purchasing Manager
