About this file

This is a Statement of Work (SOW) for data center cleaning services at Fermi National Accelerator Laboratory in Batavia, Illinois, dated July 21, 2026.

The Subcontractor shall provide semi-annual cleaning services for the Feynman Computing Center (FCC) and Grid Computing Center (GCC), with above-floor cleaning during each service visit and below-raised-floor (underfloor plenum) cleaning once annually. Wilson Hall Room 805 (Fiber Central) shall receive one annual cleaning service. The Subcontractor must furnish all labor, supervision, equipment, tools, cleaning materials, and supplies. Underfloor plenum cleaning annually includes HEPA vacuuming of accessible raised floor surfaces, removal of floor tiles while maintaining equipment cooling and structural integrity, removal of loose debris and dust, cleaning of floor stringers and pedestal heads, cleaning of perforated tiles, and provision of a report on notable conditions upon request. Hardware devices and equipment shall not be moved to access inaccessible tiles. Above-floor cleaning (semi-annual) requires HEPA vacuuming of all accessible raised and non-raised floor surfaces, damp mopping with moisture-minimizing methods, and removal of embedded dirt using low-speed equipment suitable for various flooring types including raised access flooring, sealed concrete, static dissipative flooring, vinyl composition tile, and carpeted areas. Equipment and environmental surface cleaning includes HEPA vacuuming and damp wiping of IT rack enclosures, support equipment exteriors, cold aisle containment doors, furnishings, windows, and accessible overhead cable trays during annual underfloor cleaning, with cabinet doors remaining closed. All work must be performed using HEPA-filtered equipment and methods suitable for mission-critical computing environments, coordinated with Data Center Operations, without interrupting normal operations, and leaving all cleaned areas free of dust, debris, and visible contaminants. The point of contact is Bill Barker at 1-630-486-0591 or barker@fnal.gov, and work will be completed in DuPage County.

INTRODUCTION

This Statement of Work (SOW) defines requirements for data center cleaning services supporting Science Computing Division (SCD) operations. Services will be scheduled and coordinated with Data Center Operations (DCO) to support maintenance of controlled computing environments.

SCOPE OF WORK

The Subcontractor shall provide semi-annual cleaning services for data center environments at the Feynman Computing Center (FCC), Grid Computer Center (GCC), including above-floor cleaning during each service visit and below-raised-floor (underfloor plenum) cleaning once annually. Wilson Hall Room 805 (Fiber Central) shall receive one annual cleaning service under this SOW.

The Subcontractor shall furnish all labor, supervision, equipment, tools, cleaning materials and supplies necessary to perform the required services.

Services shall include, at a minimum:

Underfloor Plenum Cleaning (Annual)

High-Efficiency Particulate Air (HEPA) vacuum accessible raised floor surfaces prior to removing floor tiles.

Remove accessible raised floor tiles as necessary to perform underfloor cleaning while maintaining equipment cooling, structural integrity of the floor system and personnel safety.

Remove loose debris and contaminants from the underfloor plenum.

HEPA vacuums the subfloor slab to remove accumulated dust and particulate.

Clean accessible floor stringers, pedestal heads and large mechanical components within the underfloor plenum.

Clean perforated floor tiles and return all floor tiles to their original locations upon completion of the work.

Exercise care to prevent disruption to data cabling, electrical connections, sensors, detectors and other critical infrastructure.

Hardware devices and equipment shall not be moved to gain access to inaccessible floor tiles.

Upon request, provide a report identifying notable observations or conditions within the underfloor plenum that may require attention.

Above-Floor Cleaning (Semi-Annual)

HEPA vacuum all accessible raised and non-raised floor surfaces, including accessible areas beneath equipment.

Statement of Work Infrastructure Services Division

Damp mop floor surfaces using cleaning methods appropriate for sensitive electronic environments while minimizing the introduction of moisture.

Remove embedded dirt, contaminants, and scuff marks from accessible floor surfaces as needed using low-speed cleaning equipment suitable for the flooring material.

Clean flooring in accordance with the applicable floor type, including raised access flooring, sealed concrete, static dissipative flooring, vinyl composition tile (VCT) and carpeted areas, as applicable.

Equipment and Environmental Surface Cleaning

Clean accessible exterior surfaces using HEPA vacuuming, damp wiping, and spot cleaning methods appropriate for operational data centers, including:

Information Technology (IT) rack enclosures, equipment cabinets and stand-alone equipment. Cabinet doors shall not be opened.

Exterior surfaces of support equipment, including cooling units, power distribution equipment and similar infrastructure.

Cold aisle containment end-of-row doors and other accessible containment surfaces.

Tables, storage cabinets, monitors and other furnishings located within the data center environment.

Keyboards and other user input devices are excluded.

Interior windows, windowsills, wall-mounted equipment and other accessible infrastructure surfaces.

Accessible overhead cable trays during the annual underfloor cleaning service.

General Requirements The Subcontractor shall perform all work using HEPA-filtered equipment and cleaning methods suitable for mission-critical computing environments. Cleaning activities shall:

Maintain the environmental integrity of the data center.

Protect sensitive electronic equipment from contamination, moisture, and electrostatic discharge.

Minimize the introduction of dust, lint, fiber and cleaning residues.

Be coordinated with Data Center Operations (DCO).

Be performed without interrupting normal data center operations or adversely affecting computing equipment.

Leave all cleaned areas free of dust, debris and visible contaminants upon completion of each service

PLACE OF PERFORMANCE
