About this file
This is a Bid Schedule document for Collier County, Florida's solicitation (No. 26-8619) for Uninterrupted Power Systems (UPS) Maintenance, Repairs, Replacement, and Installation services. The County's Facilities Management Division seeks qualified vendors to provide comprehensive preventive and corrective maintenance across County-owned facilities, including visual inspections, electrical checks, battery maintenance, system testing, and new installations for UPS units ranging from 0-20 KVA to systems exceeding 81 KVA. The bid schedule requires all line items to be completed or bidders may be deemed non-responsive. Preventative maintenance services are priced by unit category (five line items covering different KVA ranges plus an after-hours surcharge), with estimated quantities of 8, 12, 10, and 4 units respectively for the four main categories, and 4 units for after-hours work. Corrective maintenance, repair, replacement, and installation services are billed hourly with separate rates for supervisors (estimated 600 hours) and service technicians (estimated 1,200 hours). Bids are due December 22, 2025, at 3:00 p.m. through the County's online bidding system. The contract includes an initial three-year term with an optional two-year renewal, and the County intends to award Primary, Secondary, and Tertiary vendors to ensure service continuity.
Pricing for corrective maintenance services is subject to strict markup limitations: materials and parts are not to exceed 15 percent, rental equipment markups not to exceed 10 percent, and subcontractor markups not to exceed 15 percent. After-hours labor may be charged at 1.5 times the standard hourly rate, and urgent services are billed at 1.5 times the hourly rates. The County historically spends approximately $150,000 annually on these services, though actual usage may vary and is not indicative of future buying patterns. All quantities and hours in the bid schedule are estimated for evaluation purposes only and may not reflect actual usage. Contractors must meet manufacturer training requirements or equivalent experience, comply with OSHA standards, provide comprehensive insurance (general liability and workers' compensation), warrant all replacement parts for one year or the manufacturer's maximum period, be enrolled in E-Verify, comply with immigration laws, and pass background checks valid for five years. The solicitation encourages local vendor participation through a Local Vendor Preference Certification for businesses with physical addresses in Collier or Lee County. Urgent service response requirements include a two-hour acknowledgment and four-hour on-site response time.
