About this file
This document is an enhancement list for the Kenosha County, Wisconsin ERP Modernization Project, detailing implementation activities and post-go-live customizations for the Microsoft Dynamics AX system. The list encompasses 64 numbered items spanning functional areas including Cash and Bank Management, Accounts Payable and Receivable, Procurement and Sourcing, Projects and Grants, Cashiering, and Reporting. Items are categorized by status (Complete, Change Order, Cancelled, or Future), type (Customization, Configuration and Training, or Other post go-live support), and priority level (High, Medium, Low). The document, dated May 20, 2019, reflects work completed during and after the system's go-live, with completed items representing changes already implemented, while cancelled items identify functionality the County determined was unnecessary or would be addressed through alternative means such as support hours or training workarounds.
The enhancement list indicates that numerous customizations were prioritized for completion within three months of go-live (designated as high priority), with remaining items deferred for consideration in the subsequent calendar year. Costs for individual enhancements range from $825 to $75,000, with most customizations estimated between $2,000 and $12,000. Notable completed enhancements include vendor master automated exports for eWisSACWIS, Laserfiche document deletion functionality, ACH payment reference number additions, and various financial dimension validations. Several items were cancelled due to business decision changes, identified workarounds, or determination that functionality could be addressed through standard support mechanisms. The list also documents implementation tasks that were part of the base project scope, such as dashboard development, budget planning interfaces, and cash flow reporting, indicating comprehensive system configuration during the initial implementation phase.

| Kenosha County ERP Modernization Project – List of Implementation Activities (5-20-2019) |
| The following list of items represents a comprehensive list of activities for ERP implementation which are specifically not support/assistance items - i.e., those items that would be connected with ServiceNow tickets or any other support being done outside of those tickets (e.g., assistance in response to direct emails or phone calls). |
| Some of the items on the list represent activities considered part of the implementation which were deferred until after go-live. These items are denoted in the “Type of Item” as “Implementation Task”. During the project additional items were determined to be out of scope but were captured on this list as items to “defer for consideration” – that is, items that were considered non-critical to the go-live, but items worthy to be considered for addition into the scope of the project following go-live. Additional items (e.g., customizations, or areas where the County would consider additional Crowe assistance) were identified post go-live and have also been added to the list. Crowe worked with the County to establish a priority rating for these items where the inherent understanding was that high priority items would be considered within the short term (i.e., the next three months), and that all other items would only be considered out past the short term (i.e., sometime beginning in the new calendar year). | ||||||||||
| Note that items are mostly sequential but some numbers are skipped. These items originated from a list of deferred and removed items (from scope) and for purposes of this list the cancelled/removed items have been eliminated. | ||||||||||
| # | Status | Type of Item | Functional Area | Name of Item | Description of Change | Disposition/ Priority | ~ Time frame | Quote or Budget Est. | Notes | Jim Comments |
| 1 | ZZCancelled | Customization | Cash and Bank Management | Within Bank Reconciliation, identify, record, and view reconciled bank transactions including an indicator as to how the transactions were reconciled | Kenosha County desires the ability to view bank transactions with “audit trail” information regarding whether the transactions have been automatically matched (by way of reconciliation rules) or manually matched. Using this added feature the County will be able quickly filter/view all transactions in their workflow review/approval of the bank reconciliation journals that require additional review. | Low | Future | $ 9,000 | Most likely not needed. |
12/18 - Patty to follow up with Kathy.
3/13 - Cancel per team meeting.
| 2 | Change Order 16 | Customization | Procurement and Sourcing | Increase character limit on 'item description' on the Purchase Requisition form and 'Text' on the Purchase Order form to 3000 characters | Kenosha County desires the ability to enter extended descriptions on their purchase order lines. They would like to be able to specify the extended description on the PR and have it flow onto the PO. The current character limit within AX out-of-the-box is 1000 and they would like to increase it to 3000. Reports that reference this field will also have to be re-worked to accommodate this change. | Complete | Future | $ 4,800 | 3/13 - Matt requesting this to be done. Workaround is attaching additional documents. | |
| 4/24 - Confirmed Matt would like this | Do | |||||||||
| 3 | ZZCancelled | Customization | Procurement and Sourcing | Increase Decimal Precision of Unit Price field on Request for Quotation Reply form | Kenosha County desires the ability to enter vendor request for quotation replies with unit prices up to 5 decimal place precision. | Low | Future | $ 1,425 | 3/13 - Cancel per team meeting. | |
| 4 | Change Order 13 | Customization | Procurement and Sourcing | Change Default Value of 'Insurance required?' field on the Purchase Requisition form to 'No' | Kenosha County desires the default value of the insurance required field on the Purchase Requisition to default to ‘No.’ The field currently (out-of-the-box) defaults to ‘Yes’. This field is not being used to drive any functionality, however, users in CRP found it strange that the default was ‘Yes’ and felt that this could be easily missed by users entering PRs. | Cancelled | Future | $ 825 | 1/31 - Cancelled per Matt F. | |
| 5 | ZZCancelled | Other, post go-live support and assistance | Budget Planning | Assistance with Budget Planning prep and extended end-user training | Kenosha County desires assistance for the first true budget planning cycle executed within Dynamics AX, recognizing that this will not occur until ~8 mos. post go-live. To that end, it is likely that some concepts and learning will be a little stale and will need to be "refreshed" with the core user team. Also, the County would like Crowe to assist with the training of the end-users who would participate in creating the dept/div budgets, where Crowe would assist with one or two sessions and the County could then perform any number of additional sessions in train-the-trainer mode. Finally, the County would like a bucket of hours to provide general assistance during the preparations and configuration leading up to the budget cycle. This item covers all three of those areas including expected out-of-pocket expenses: |
1. Refresher training for Core users (one day, onsite, including preparation and follow-up time)
2. End-user training for Dept/Div budget preparers (two half-day, onsite sessions, two trainers, including preparation and some/minimal follow-up time)
3. General budget preparation assistance Medium Mid 2019 $ 23,600 3/13 - Need further discussion on Budget implementation with Crowe.
4/23 - Using support hours as needed. Cancel per CTM.
| 6 | ZZCancelled | N/A | N/A | N/A | N/A | Cancelled | N/A | Withdrawn. |
| 7 | ZZCancelled | Other, post go-live support and assistance | Year-end close | Assistance with year-end close process and year-end reporting (CAFR, audit reports) | Kenosha County desires assistance with its first year-end close process within its new Dynamics AX system which will include two related, but separate, areas of assistance: |
1. Assist the County with the year-end close process within AX including periodic procedures to close out prior-year processing, to permit new-year processing, and to roll forward and close out all relevant areas (e.g., PO roll-forward, review and process items like prior-year PRs). Includes the month-end process for the last month of the year (sub-ledger reconciliation, etc.)
2. Assist the County with year-end reporting - e.g., producing reports for the first audit under the new AX system, as well as first-time production of the CAFR reports (note that this would occur several weeks/months after the year-end close process)
Note that DED #38 in the base contract (an optional bucket of support hours) was included in the contract specifically to accommodate items like this one. Medium December, 2018 – January, 2019
| March – April, 2019 | $ 15,400 | 3/13 - Cancel per team meeting. | ||||||||
| 8 | Change Order 12 | Other, post go-live support and assistance | All | Extended support | Kenosha County desires to have extended support above and beyond the 90 days of support provided within the base work statement, and above and beyond the additional support that is available (optional) in the base contract as part of Milestone/DED #38, which provides for an additional 200-250 hours of support. This item extends support for an additional period such that support is provided up through an entire year post go-live (i.e., it extends the 90 days out to 365 days, and therefore covers 9 mos.) | Complete | March, 2019 | $ 50,000 | ||
| 9 | Change Order 16 | Customization | Accounts Receivable | Selection of Dept Remit-to Address on Customer Invoice | Kenosha County desires a customization to accommodate multiple departmental remit-to addresses on customer invoices, where the user can select from multiple departmental remit-to addresses on any given customer invoice (select one from all applicable departmental remit-to addresses). | High | Future | $ 7,825 | Denise to determine ultimately whether this is needed. |
12/18 - Patty to follow up with Denise.
3/13 - Denise to follow up with Nancy.
Response from Nancy: There are 2 issues to resolve:
1. Related to the incorrect “remit to” address
2. The Customer name is not printing on a project invoice Get Quote 4/22 - Quote updated.
| 4/24 - Confirmed with Denise that Nancy would like this. | Confirm it is complete with Nancy. | |||||
| 10 | ZFuture | Support | Projects/Grants and Reporting | Integration from CMS - convert contracts into AX as a PO – an annual upload (integration) from CMS | Per Laurie 8/2/2018: |
The current MFR format will change slightly in AX. Currently we have our vendor/provider information listed with annual contract amounts under our service categories in the MFR (This is for DWD, DCFS, OOD, and DADS). Health, Vets, ME, and Brookside does not use this format. Projects and Sub projects will take the place of service categories/line items from our current MFR to the AX MFR. However, we won’t be able to see the vendor/provider information under the service line items.
In order to accommodate this information in AX for 2019, fiscal staff will probably be entering all contracts as a PO in AX. This way we can track contract balances within AX. Each line item could be a specific service which can be reported with the financial dimension including project and sub project ID. A vendor and/or Project lookup will give directors/responsible staff a view of contract balance at any point in time. This could be incorporated into their dashboards. I have let fiscal staff know all contracts requiring a PO in AX will be manually entered in 2019. However, I would hope for 1/1/20, this could be a download from RHB’s CMS in a format that AX would accept to create PO’s. Some manual intervention might be needed by fiscal staff; however, the majority of the data would NOT have to be a manual entry. This would be a very efficient and time saving process for the fiscal staff. It also will give other staff an up to the minute contract balance lookup vs a 30 to 45 day wait for the current MFR to be produced. It might also be consistent to have all divisions who have any contracts in RHB’s CMS to utilize the PO entry going forward which would include Brookside and Health. Your decision going forward could also be a point of discussion when planning this project.
I would hope we could start conversations this first quarter of 2019 because before you know it—2020 will be here. Medium Q2, 2019 $ 1,575 12/18 - Needs to be complete before the end of 2019.
3/13 - Get quote.
4/22 - Quote updated. Range from $1,575 - $7,650.
| 4/23 - To use support hours as needed. | Do it with support hours, not an enhancement - second list | |||||||||
| 11 | ZZCancelled | Configuration and Training | Enterprise Portal | Web Access to AX for Employees (and potentially email approvals for workflow) | Kenosha County desires to have AX accessible to remote workers whereby they could access AX (e.g., perform workflow approvals) through mechanisms other than remote desktop). Crowe discussed with the County that the use of the Enterprise Portal could potentially accommodate this. This item would entail the implementation and rollout of the out-of-the-box Enterprise Portal, recognizing that additional procedures would require documentation. | Low | Future | TBD | 3/13 - Mike to follow up. |
4/23 - Cancel per CTM.
| 12 | Change Order 11 | Customization | Accounts Payable and Integration | Vendor Master Automated Export for eWisSACWIS | Kenosha County desires functionality whereby AX, on a periodic/batch basis, will automatically extract data from the vendor master file and will produce a CSV-format file of identified fields from the vendor master file into a single, agreed-upon location within a fileshare. This file will be used by eWisSACWIS to synchronize its vendors for purposes of processing foster care payments. | Complete | 1/30/19 | $ 2,850 |
| 13 | Change Order 11 | Customization (TC) | Cashiering | Cashiering integration with AX – provide tender type on transactions and automated functionality for producing ALE lines with totals by tender type | Out-of-the-box, Tyler Cashiering does not pass tender type data to AX when sending a batch to AX, which ultimately becomes an ALE within AX. This enhancement would require two changes to be completed and coordinated: |
1. Modify Tyler Cashiering such that it will pass tender type data into AX by transaction; and
| 2. Modify Dynamics AX to permit tender type information to be accepted (as part of the web service), as well as additional logic to calculate and add lines into the ALE for tender type sub-totals | High | June | $ 19,750 | 5/20 - Origianlly scheduled for March, 2019 (TC 2019.1) release | ||||||
| 14 | ZZCancelled | Customization (TC) | Cashiering | PnP Integration | For the Tyler Cashiering, add to the product the ability to support Point-n-Pay for credit card processing | Low | Near future | $ 75,000 | 12/18 - Patty to follow up with Kathy. |
3/13 - Follow up with Kathy.
4/23 - Cancel per CTM.
15 ZZCancelled Configuration and Training Vendor Portal Change to the Vendor Portal Authentication Service In late August, 2018, Microsoft announced its migration strategy for deprecating its vendor portal authentication service (ACS). Microsoft announced its alternative solution and provided time frames for this change. This item would accommodate the effort to change from ACS to the new VP authentication provider (Auth-0), realizing that this will require re-configuration of Dynamics AX to support this, as well as additional testing/validation and activities to implement this change (e.g., production change control). High Near future $ 30,600 Discussion of Scope/Approach needed.
12/18 - Schedule meeting after holiday to talk through Vendor Portal and what needs to be done to get a timeline in place.
3/13 - Cancel per team meeting.
16 ZZCancelled Customization Projects and Grants Modifications to the Project Contracts Report Kenosha County desires changes to the Project Contracts Report (Reports > Base data > Project Contracts) funding source (grant) financial dimensions on a project contract, along with the amounts for each, where AX does not provide this functionality out-of-the-box.
Note: This report was customized to add grant Id and name information (providing a partial solution for the County), but the County wants to be able to see amounts and filter so they can more easily identify if they missed a setup step.
Also, modify the report so that it can be run for just one Division. Low Future TBD Combined item #33 into this based upon email from Laurie to Jim and Mike on Nov. 2nd.
12/18 - Need quote from Neal.
1/23 - Per Jim email - Denise and Terri said that this will not be needed. Leave on the list but drop to very low priority just in case someone else may need later. No need to estimate cost.
3/13 - Cancel per team meeting.
| 17 | Change Order 11 | Customization | Accounts Payable | Validation logic for financial dimensions prior to submission for AP Invoices | Kenosha County desires functionality whereby Dynamics AX would be modified to validate the financial dimensions prior to allowing users to submit AP invoices (i.e., pending vendor invoices) into workflow for approval. Out of the box AX does not validate the financial dimension until approval/posting, and this logic creates issues with the routing for invoices for approval, since invoices are routed based upon their financial dimension values. | Complete | 1/30/19 | $ 6,000 | 1/8 - Development complete. Going through validation. Target 1/26 roll-out. |
| 18 | Change Order 10 | Customization | Laserfiche Integration | HIPAA and Confidential Document Indicators on printed AX scanning cover sheet for AP Invoices | Kenosha County desires functionality whereby Dynamics AX would be modified to: |
1. Prompt the user (either on the pending vendor invoice form or on the reporting printing dialog) with two checkboxes whereby they may specify the documents to be scanned are either HIPAA, Confidential, or neither, or both
2. Print the disposition of those indicators on the AX cover sheet for the invoice (which currently provides the bar code for scanning, among other things).
| Note: Crowe assumes for this enhancement that neither the inbound or outbound services would be modified and that AX would not attempt to store the disposition selected (i.e., this would be specified during the printing of the cover report, but not persisted). | Complete | Scheduled to go into PROD 11/28 | $ 9,300 | |||
| 19 | Change Order 10 | Customization | Laserfiche Integration | Deletion of Laserfiche references that have been attached to records in AX | Kenosha County desires functionality whereby Dynamics AX would be modified to enable the Laserfiche integration to allow deletion of Laserfiche references that have been attached to records in AX (as attachments). The approach discussed for this would be as follows: |
1. Crowe would add a new field to the table that AX monitors (i.e., the table that Laserfiche populates when it sends new document references into AX) to understand if the document is an “Add” or a “Delete”
2. Crowe will modify the AX-inbound service to accept this additional field. Note that since the inbound services for all document types will need to change, the Kenosha Laserfiche code will also likely need to change, and this would be the County’s responsibility.
3. Crowe will modify the functionality that processes requests from Laserfiche (i.e., the records in the monitored table) and if the attachment is being “deleted”, it will look up the combination of RecId and URL and will delete the attachment reference within AX for that combination.
| It is worthwhile to note that as part of this change, Crowe will need to handle the ability to attach/remove documents to invoices at various stages (and not just the pending vendor invoices). This creates complexity for the integration that was not present for the “add” functionality that was previously implemented. | Complete | Scheduled to go into PROD 11/28 | $ 9,300 | |||
| 20 | Change Order 13 | Customization | Accounts Payable | Add “ACH Reference Number” on ACH payments | Kenosha County desires functionality whereby Dynamics AX would be modified to add an “ACH Reference Number” on ACH payments. This will developed so that the out-of-the-box reference number would be its own/unique sequence (where this is simply a free text entry field out of the box). |
Crowe will modify the ACH "report" that is emailed to vendor when ACH Payments are made to include the ACH reference number (note: the item that gets emailed to vendors is technically an SSRS report).
| It is important to note, however, that based on discussions with the bank, this ACH reference number will not flow through to the bank as the bank has indicated that nothing can be done with this data (unless large/costly customizations are contemplated). | Complete | Near future | $ 9,863 | |||||||
| 31 | ZZCancelled | Customization | Projects and Grants | CFDA drop down on the Grants Funding Id form to display description | In Grants Funding Id form; CFDA drop down (funding id number) to display description | Cancelled | Future | $ - 0 | Withdrawn. | |
| 32 | Change Order 11 | Customization | Accounts Payable | Remove address information on the Pro Forma Invoice | Address info on the Pro Forma Invoice - the name and address appearing on the cover sheet for scanning may not be the same address that was selected for that particular vendor on the invoice. For this modification, Crowe will remove the address from the printed form to eliminate any possible confusion. |
| Note that the County will check to see if they can remove the cover sheet from the scanned documents (which would also help to eliminate some confusion). | Complete | 1/30/19 | $ 825 | 1/8 - Develoopment complete. Going through validation. Target 1/26 roll-out. | ||||||
| 33 | ZZCancelled | Customization | Projects and Grants | Modify the Project Contract Base Data Report for Division criteria | Modify the Project Contract Base Data report in Projects and Grants so that it can be run for just one Division. | Cancelled | Future | $ - 0 | Withdrawn. Combined into #16. | |
| 34 | Change Order 13 | Customization | Accounts Payable | Functionality to support that new vendors will get setup with Fund 100 defaulted | When the County enters new vendors, the users have to remember to set the Fund to 100 General Fund. Add functionality to set this field (the "Fund" financial dimension value) to 100 as a default when a user opens a new vendor form (so that it is not forgotten). | |||||
| Complete | Future | $ 2,250 | Explore alternative – can this field simply be made as a “required field” on the vendors form? |
12/18 - Neal to re-quote based on new requirement.
1/23 - Per Jim email - Mark Felsing said he would like to have default to fund 100 and not make this a required field.
35 ZZCancelled Customization Accounts Payable Verification of vendor mailing address (on checks) Possible enhancement needed for selecting and verifying vendor mailing address for checks.
| Hoping that the selection process could be easier. Note: could be a training issue or possibly a personalization | Cancelled | Future | $ - 0 | 12/18 - Withdrawn per meeting notes. | ||
| 38 | ZZCancelled | Other, post go-live support and assistance | Budget Planning | Assistance with / Support for Budget Planning Pilot | Kenosha County desires assistance for the budget planning pilot planned for approximately November, 2018. The County anticipates that some concepts and learning from the implementation will be a little stale and will need to be "refreshed" with the Pilot team during this process. While all Pilot participants were trained as part of the implementation, the County anticipates that there might need to be additional training of the pilot end-users who would participate in creating the dept/div budgets. Finally, the County would like a bucket of hours to provide general assistance during the preparation for and execution of the pilot. This item covers those areas including expected out-of-pocket expenses: |
1. Refresher training for Pilot participants/ users (one day, onsite, including preparation and follow-up time)
2. General assistance with preparation for and execution of the Pilot Cancelled December, 2018 $ 7,200 Per comms, County likely will execute pilot without Crowe assistnace.
12/18 - Withdrawn per meeting notes. Can be incorporated into support hours.
39 ZFuture Other, post go-live support and assistance Training “Optimization” Training Kenosha County desires assistance with additional training across all functional areas where the training would be targeted towards existing users and the optimization of their skills and knowledge in using the system. Examples would be areas like maximizing their efficiency and productivity in the system and reinforcing areas like “short cuts”, personalizations, and best practices. This training would not be geared towards training users new to a module. Time and costs will include time to prepare for session and time to follow up from sessions.

| 40 | ZZCancelled | Customization | Accounts Payable | Multiple remit-to description lines on the printed check | Kenosha County desires functionality whereby Dynamics AX would be modified to permit multiple lines for remit-to description within the remittance sections of the printed check | Cancelled | Near future | TBD | 12/14 - Per a call that was conducted with the County (Mark, et al) 12/7/2018, the County does not wish to pursue this enhancement for the time being. Crowe (Glendon) reviewed the issue and various options with the County. The County indicated it will either create an invoice journal for the situations they encounter or live without this functionality. Change priority to Low. |
1/23 - Per Jim email - Mark Felsing says to take off list. This will not be needed.
| 41 | Change Order 13 | Customization | Cash and Bank Management | Validation for bank statements (BAI2) that include 0 dollar lines | Kenosha County desires functionality whereby Dynamics AX would be modified to accommodate 0 dollar lines received from the bank in a BAI2 file. Note: currently, AX does not permit these lines (it flags this during its validation) and Johnson Bank has indicated that this change would be semi-difficult for them to make. | Complete | Future | $ 1,250 | Patty to check with Nathaniel. |
| 42 | Zfuture | Customization | Reporting / Projects and Grants | Add Project Name and Funding source to Accounting source explorer | Kenosha County desires functionality whereby Dynamics AX would be modified to add Project Name and Funding source to Accounting source explorer (General ledger > Common > Accounting source explorer) | High | Future | $ 5,200 | 3/13 - Get quote. |
4/22 - Quote updated.
| 4/24 - Changed to high priority per discussion at Team Lead meeting. | Do | |||||||||
| 43 | Change Order 13 | Customization | Accounts Payable | Make the Invoice description field on the Invoice mandatory | Kenosha County desires functionality whereby Dynamics AX would be modified to make the invoice description field on the Invoice a mandatory field. | Complete | Future | $ 938 | 1/24 - quote added | |
| 44 | Change Order 13 | Customization | Accounts Payable / Pcard | Report or list view that combines PCard and AP payments by vendor | Kenosha County desires functionality whereby Dynamics AX would be modified to provide a report or list view that combines PCard and AP payments by vendor, which does not exist out of the box. (see ServiceNow ticket #1277) | Complete | 5/14/19 | $ 9,600 | 1/24 - note that this item is being addressed in conjunction with item #51. The quote for addressing this item includes the quote for that item. | |
| 45 | ZZCancelled | Customization | Accounts Payable / Project Accounting | Suppress soft warning for project invoices for project category selection (in line details) | Kenosha County desires functionality whereby Dynamics AX would be modified to suppress the soft warning that appears when paying an invoice with a project associated, when the user selects the project on the line detail section where a soft error immediately pops up telling the user that they need to select a project category when it hasn't given the user the chance to select one yet. (see ServiceNow ticket #1287) | Cancelled | Future | $ - 0 | 12/18 - Withdrawn per meeting notes. KC-IT to submit bug to Microsoft support. | |
| 46 | Change Order 11 | Customization | Cash and Bank Management | Accounting Date Change on Bank Statement Journal | Kenosha County desires functionality whereby Dynamics AX would be modified to default the accounting date (on a Bank Statement Journal) to the booked date on the bank statement and not the date when bank reconciliation is being performed (which is how AX handles this out of the box). (see ServiceNow ticket #1339) | Complete | November | $ 900 | Complete with emergency change on 11/5. | |
| 47 | Change Order 11 | Customization | Projects and Grants | Add vendor to the grant proposal | Add vendor to the grant proposal (see ServiceNow ticket #1304) | Complete | 1/30/19 | $ 5,925 | 1/8 - In process. Looking at adding more than 1 field. Target 1/26 roll-out. |
1/29 - Per Neal, this cannot be complete until #44 is in PROD. This is due to the vendor information from PCARDS not being pulled into the GL.
| 48 | Change Order 13 | Customization | Accounts Payable | Expand field size for ACH remittance emails stored in the vendor file | Kenosha County desires a change to the size of the field provided by AX for ACH remittance emails (stored in the vendor file). The field size is limited to 80 characters. We have about a dozen vendors where that field size is not large enough. This prevents Kenosha County from adding its own email address to validate that the remittance was sent out and to capture the actual remittance file for future reference. (see ServiceNow ticket #1367) | Complete | Future | $ 2,963 | 1/24 - quote added |
| 49 | Change Order 11 | Customization | Accounts Payable / eWisSACWIS Integration | Ability to hit project sub-ledger through the eWisSACWIS integration | Kenosha County desires a change to the eWisSACWIS integration whereby the integration will permit project sub-ledger-level integration (i.e., would allow for project accounting, above and beyond simply hitting the ledger and AP) | Complete | 2/6/19 | $ 7,725 | 1/18 - Marla sent email after talking to Jeff. Project category will always be Out of Home placements, account 571640. |
1/23 - Jeff needs this in place before first 2019 payroll process on 2/13/19.
50 ZZCancelled Customization Cash and Bank, General Ledger Cash receipts detail (from Cashiering) appearing in General Ledger Cash receipts detail from Tyler Cashiering does not appear within the AX General Ledger (e.g., individual checks received don’t show up in the ledger). There is some question within the County whether this is desirable, or whether the detail is desired. Cancelled Future TBD 12/18 - Need quote by Neal.
1/23 - Per Jim email - Take off list. This enhancement is not needed.
| 51 | Change Order 13 | Customization | Accounts Payable, General Ledger | Populate p-card vendor names in JE that shows vendor name in G/L | Populate p-card vendor names in JE that shows vendor name in G/L (need help to define this one and/or tie back to issue from issues list) | Complete | 5/14/19 | $ - 0 | 1/24 - note that this item is being addressed in conjunction with item #44. | 52 | Change Order 16 | Customization | Accounts Payable | Auto-populate Invoice Lines entry fields | From Matt Fleming to Mark Felsing (10/3), relaying a question from April Webb: |
Is there an enhancement that could be made to default the procurement category, quantity, and unit of measure on an invoice line to “Goods 2 way”, 1, and “EA”, respectively, for invoice line entry?
Note that Crowe would need to spec this, as this logic would not work for many lines (e.g., when invoicing against a PO and/or product receipt) (This was previously the duplicate 50.) Complete Future $ 4,875 3/13 - Need to research more details on how this would be used in KC.
4/22 - Quote updated.

| 53 | Change Order 16 | Customization | Cash and Bank Management | Enhancements to the out-of-the-box Balance Control Inquiry Forms (2) |
Journal voucher > Inquiries > balance control; and
Cash and bank management > Inquiries > Balance control These forms show an inquiry prior to posting – what the results of a transaction will be before and after posting. Kenosha County wants the effect of a sub-ledger (bank account) to update the assigned main account. This will give users more accurate information for their cashbook projections to know when and how much money needs to be transferred to/from a state pool. Enhancements would also include effective date tracking.
Note that both forms are similar, but have subtle differences that would require each to be enhanced in a relatively similar manner. A conceptual spec for this enhancement was provided to the County (Nanette, Amanda, Patty, Kathy, Marla) for review 11/19/2018. This cannot be quoted until the scope and approach for this are confirmed. Complete In Progress $ 11,850 12/18 - Crowe waiting for follow-up from Nanette for quote. Neal to provide details to Patty for follow-up.
1/24 - Per message from Kathy:
Before we send this for an estimate, we would like Joe H. to talk to Nanette about her questions. Could he call her? The responses below didn’t explain what she was asking completely. Maybe the questions need some explaining. If this misses the next enhancement schedule that will not be an issue. We will put It on the following one because we want to make sure that the Treasurer has a good understanding of how this will help to replace the Excel cashbook down the road.
Until we get the September 2018 and subsequent months balanced to the bank, this enhancement will not be helpful so we can make it less of a priority because of that. Reconciling to the bank is a priority and we still don’t have that worked out as to the beginning balance and the information we need for the month end. We are working on it.

| 54 | Change Order 13 | Customization | Accounts Payable | Auto-generate unique Pre-notes file name with Johnson Bank- specific filename format | When generating pre-note files in batch, out-of- the-box AX does not uniquely name a file (for example, each batch run might call the file “prenote” for each and every run). This enhancement would modify out-of-the-box behavior to attach a date/time stamp to the file name, along with a ".txt" extension which Johnson Bank requires for their "sweep" functionality, which will allow this process to run in batch (vs. requiring Kenosha County to run it manually). | Complete | TBD | $ 1,930 | Quote provided; County needs to assess priority |

| 55 | Change Order 13 | Projects and Grants | Import Project-based transactions via GL import | During the Optimization training for Projects and Grants, the County indicated it would like to be able to import Project-based transactions via GL import. Currently, the GL import function supports ledger to ledger transactions (i.e., an account type of "ledger"), but not journal lines that would be of the "Project" account type. This enhancement would update the import functionality to support the ability to import journal lines where the "project" account type could be specified, including updates to the associated Excel template that is used as the mechanism for entering and structuring the import data. | Complete | TBD | $ 3,975 | Originally requests via email from Chris Walton to Joe Henninger. | ||

| 39A | Change Order 11 | Other, post go-live support and assistance | Training | “Optimization” Training – Projects and Grants and Reporting | Kenosha County desires assistance with additional training in the Projects and Grants Accounting functional area, as well as the Reporting functional area, where the training would be targeted towards existing users and the optimization of their skills and knowledge in using the system. Examples would be areas like maximizing their efficiency and productivity in the system and reinforcing areas like “short cuts”, personalizations, and best practices. This training would not be geared towards training users new to a module.
